Main Purpose of Job
Efficiently and effectively manage the High Commissioner‘s business life and engagements in liaison with internal and external stakeholders, enabling successful delivery of the mission’s objectives.
Main Duties and Responsibilities
Diary management, logistics and administrative tasks.
Channel incoming correspondence to relevant teams, and ensure appropriate registry/filing Coordinating travel and visits on behalf of the High Commissioner.
Budget holder for post travel.
Support Deputy High Commissioner on Crisis Management Planning.
Support the wider teams on internal and external events.
- Min. 2 years’ experience as an executive assistant or personal assistant
- Excellent organisational skills
- Fluent in English and Portuguese (both written and oral)
- Attention to detail
- Good capacity for building work relationships and communication networks
- Good knowledge of IT(Microsoft Word, Excel, Powerpoint, Outlook), internet, and managing digital data
- Highly responsible, integrity, honest, and the ability to maintain strict confidentiality
- Punctual
- Ability to quickly learn, adapt and be flexible
- Problem solving skills and solution focused
- Confidence to respectfully speak up and offer advice or guidance
- Experience of planning travels and events
- Experience / basic knowledge of budgeting and forecasting
- Experience of working in a similar organisation
- Experience of engaging with senior government officials
- Over 5 years’ experience as an executive assistant or personal assistant
Learning and development opportunities (and any specific training courses to be completed):
- Finance and management courses as required.
- There will also be opportunities for job shadowing and mentoring in the Africa network
Working Hours:
Monday – Thursday 8:00 – 4:00,
Friday 8:00 – 1:00
