View Vacancy - Corporate Services Assistant (DNK103)
The British Embassy in Copenhagen is part of a world-wide network representing British political, economic and consular interests overseas and is now looking for a Corporate Services Assistant.
The main purpose of the job is the day-to-day management of the Residential Properties. Ensuring that all fire, health and safety requirements are adhered to, and that all service and repair work is carried out efficiently with a keen eye on value for money.
Management of Residential Properties
- Co-ordinating action on faults or break-down of machinery or equipment in all properties.
- Managing and monitoring annual service contracts.
- Liaising with local contractors regarding maintenance and repair work.
- Manage property search for UK-based officers and managing all rental contracts.
- Ensure relevant stakeholders are informed as necessary.
Health & Safety
- Understand and follow FCO health & safety standards, working closely with the Fire Safety Manager and Deputy Corporate Services Manager to ensure all properties meet the required standards.
- Ensure that routine health and safety checks are carried out and that documentary evidence is maintained.
Finances and procurement:
- Ensuring budgets are efficiently managed and that value-for- money objectives are achieved in line with FCO guidelines. Flagging up concerns or financial gaps in excess of 1% appropriately.
- Understand and follow procurement guidelines.
- Contract Management including tendering, supplier management for work carried out on Residential properties.
General
- Provide support to Deputy Corporate Services Manager.
- Supervision of 3 support staff.
- Data Capture of quarterly Embassy VAT returns.
- Good organisational and time management skills.
- Positive outlook with a can- do attitude.
- Some experience in contract management.
- Some supervisory experience.
- Customer service experience (internal or external).
- Excellent working knowledge of Microsoft Office suite.
- Working as part of a close-knit team, you are a self starter, with evidence of team management experience. You will need to ensure delivery of a quality service with expectations well managed. Ability to work under pressure during seasonal peak periods with a clear focus on timely and concise communications to relevant stakeholders.
- Good communication skills in both English and Danish.
- Budget management skills.
- Knowledge of Health and Safety Regulations in Denmark and/or UK.
This is a fixed-term contract of 9 months to cover for a maternity leave.
The successful candidate will be subject to professional background check and security clearance.
The successful candidate must have pre-existing work authorization for Denmark in order to apply.
