The UK Permanent Representation to the EU (UKRep) works within the EU and its member states to maximise British influence on issues such as trade, the single market and economic growth and is now looking for a highly motivated PA to PSC Ambassador.

The job will involve supporting the PSC Ambassador across the broad range of their responsibilities, as a member of the UK Representation’s (UKREP) senior management team and as the UK Representative to the Political and Security Committee (PSC).

You will be part of the wider UK Representation Private Office - a dynamic, busy team that support UKREP’s senior leadership to deliver their priorities for HMG.

Main responsibilities will include:

  • Managing the PSC Ambassador’s Office: managing all aspects of the diary, including managing information flows and retrieval, transport and travel, visitors and visit programmes, corporate entertainment; dealing with written and telephone enquiries; commissioning and checking briefing for meetings; and communicating with teams on the PSC Ambassador’s behalf. It will also be important to build and maintain close working links with the wider UKREP private office, including cover and support for colleagues where appropriate.

  • PSC Support: Working closely with the internal PSC team to collate and co-ordinate briefing for the bi-weekly PSC Committee; preparing briefing packs and ensuring all necessary information is available to the PSC Ambassador and team to perform effectively in PSC; liaison with EEAS PSC Secretariat and London desks.

  • Developing networks - particularly with the Executive Assistant network that supports key senior officials in London, the European Institutions, and other Member State delegations who represent the Ambassadors key contacts.

  • Proven previous PA/office management skills at a senior level, including demonstrating strong team-work skills and discretion;

  • Ability to deliver results in a fast-paced environment;

  • High standard of efficiency, self-motivation and resilience to perform effectively to short deadlines;

  • Ability to think ahead and demonstrate the judgement to act on initiative;

  • Excellent English communication skills;

  • Strong IT (Microsoft Office and Outlook) skills;

  • Fluent written and spoken English.

  • Practical spoken French – especially the ability to conduct straightforward phone conversations in French;

  • Experience of dealing with senior management;

  • Knowledge of FCO systems and corporate operations;

  • Previous Civil Service or FCO experience.

This is a full-time contract for 5 working days (36.25 hours net) per week. This position will be filled on a "replacement contract" to cover a leave of absence. It is anticipated that the staff member will return in Summer 2018. This is only a guide and any possible earlier return or extension to this date would be discussed with the successful candidate.

The monthly gross salary for this position is € 3,024.50 A2(L) Level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
