View Vacancy - Corporate Services Assistant / Receptionist - Maternity Cover (ITA582)
The British Consulate General in Milan (BCG) is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Corporate Services Assistant (CSA) / Receptionist to provide support to a fast moving and dynamic Corporate Services Team. The BCG Milan is home to Department for International Trade (DIT) Italy, the Milan Consular Team and Home Office representatives. We also host Visit Britain and soon the Scottish Executive.
In addition a small percentage of the role will be to support the Italy Science and Innovation Network (SIN) network with general administration duties.
Main Duties and Responsibilities
- To be the first point of contact for the British Consulate General Milan for the public and visitors;
- To support the Security Team as the front office for general callers and visitors. Incoming mail scanning, parking permits, occasional liaison with host nation military;
- To filter Consular and DIT callers and visitors, including the occasional VIP;
- To support Estates work with supplier liaison, arranging site visits, keeping a record of ongoing works for the office and Residences and support larger project works;
- General admin duties include preparation, despatch and receiving of the diplomatic bags, general post, bookings, stationery orders, filing;
- The Corporate Services Assistant (CSA) will be responsible for raising requisitions and making credit card payments and checking invoices in accordance with FCO financial guidelines;
- Many aspects of the CSA/Receptionist role are shared with another CSA so the ideal candidate will be expected to cover her annual and sick leave even at very short notice;
- SIN Assistant: General administrative support e.g. travel bookings for 2 x SIN Officers and their guests around particular events generally held in Italy and the UK.
- Fluent spoken English (C1 or above under CEFRL or equivalent)
- Fluent written and spoken Italian (C1 or above under CEFRL or equivalent)
- strong interpersonal skills and experience of front-line customer service proven experience in administration work Skilled team player with the ability to work in a target driven and organised team environment;
- excellent attention to detail, analytical and problem solving skills IT skills with a strong working knowledge of Microsoft Windows and Office suite
- Previous experience in working with high level officials;
- Experience of handling difficult customers.
This is a part-time temporary position for a contract of 5 months, with a possibility to extend to a maximum of a further 6 months, graded A1 (L) according to the FCO grading structure. The start date may be brought forward slightly.
The monthly gross salary is Euro 1,445. The salary is paid monthly 14 times per year including € 10.33 EDR paid 13 times per year. Working hours are 28 hrs per week Monday to Friday 10.00-17.00 (except Wednesday: 09.00-13.00).
Confirmation of appointment will be subject to a three month probation and successful security clearance.
All staff employed by the British Consulate General are subject to Italian income tax rate deductions (IRPEF). However the administration of these tax payments will vary depending on nationality.
The successful candidate will be enrolled in the Italian State Social Security Scheme.
The successful candidate will be subject to professional background check and security clearance. The successful candidate must have pre-existing work authorization for Italy in order to apply.
