The UK Representation to the European Union (UKRep) in Brussels is part of a world-wide network of 230 Diplomatic Posts, representing British political, economic and consular interests overseas and is now looking for an Assistant to the Deputy Permanent Representative.

A full time vacancy has arisen for a locally engaged A2(L) Assistant to the Deputy Permanent Representative (DPR) at UKREP.  The job will involve supporting the DPR in her responsibilities as a member of UKREP’s senior leadership team, as the UK Representative at part one of the Committee of Permanent Representatives (COREPER) and in her role once the UK leaves the EU. This is an exciting time to work in UKREP as the UK develops its new relationship with the EU: the post holder will have an opportunity to get involved in the work to support this transition.

On 29 March 2019, the UK will leave the EU and UKRep will become a Third Country Mission to the EU.  While the nature of UKRep’s work will change, it will remain a significant and busy UK overseas Mission as we work to establish a close future partnership with the EU.  Given this evolving context, we are looking for an individual who is prepared to be flexible and adjust their responsibilities as required.

Main Duties and Responsibilities:

  • Managing the DPR’s Office: managing all aspects of DPR office including some inbox management, diary (including visitors and visit programmes), transport, travel, entertainment, information flows and retrieval, dealing with written and telephone enquiries, commissioning and checking briefing for meetings, document creation, expense budget management, communicating with staff on behalf of the DPR, and other secretarial/clerical tasks that arise;

  • Coreper Support: Working closely with the Mertens Group Representative to commission and co-ordinate briefing for the bi-weekly Coreper meetings; preparing briefing packs and ensuring all necessary information and documents are available to the DPR and Mertens Group Rep. to perform effectively in Coreper; Liaising with Council Secretariat, Commission and Presidency for Coreper I events;

  • Liaising with Whitehall departments: organising cross-Whitehall meetings, acting as secretariat for boards the DPR leads on, co-ordinating ad hoc teleconferences and meetings in Brussels and London for the DPR;

  • Developing networks: particularly with the Executive Assistant network that supports key senior officials in London, the Commission, the Council and other member state delegations who represent the DPRs key contacts.
     

  • Excellent organisational and office management skills;
  • Excellent interpersonal skills – including the ability to be firm with colleagues whilst retaining respect;
  • Team working skills and high degree of flexibility;
  • Ability to think ahead, think strategically and act efficiently and on own initiative;
  • Discretion and good judgement;
  • Good IT (Microsoft Office and Outlook) skills;
  • High standard of drafting skills;
  • Fluent written and spoken English;
  • Practical spoken French – ability to conduct straightforward phone conversations in French;
  • Enthusiastic about personal development and a high level of self-motivation;
  • Personal resilience.
  • Previous experience of successful office management;
  • Experience of/ability to deal with senior management;

  • Basic knowledge of Civil Service systems and corporate operations;

  • Previous FCO or Civil Service experience.

This is a permanent full-time contract for 5 working days (36.25 hours net) per week.

The monthly gross salary for this position is € 3,175.72 A2 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
