Residence Coordinator

The British Embassy, Rabat is looking to recruit a new Residence Manager (RM) to ensure the smooth and efficient running of the British Ambassador’s official Residence.

Main purpose of the job:

The jobholder will be responsible for all aspects of the maintenance and smooth running of the Ambassador’s Residence -  from replacing broken light bulbs or maintaining the wifi to overseeing the building’s maintenance and repair as well as organising and managing official breakfasts, lunches, dinners and receptions at the Residence.  

The Residence Manager ensures the Residence is maintained to the highest possible standard and that, through the high-volume of events and other services it provides to guests, the Residence serves as a showcase for British Excellence.

He/She will report directly to the Ambassador and must have a sense of fun and be innovative and creative; resourceful and flexible; able to respond calmly to last-minute changes; have excellent interpersonal, management, organisational, and customer service skills.

The Residence Manager will be expected to work irregular hours – if there is an evening function, the RM will be expected to be present to welcome guests and ensure there are no last-minute problems

Jobholder will also be expected to assist Embassy colleagues with major functions held at the Embassy such as the annual Queen’s Birthday Party.

Main duties and responsibilities:

Business and Hospitality:

  • To manage the daily running of the Residence
  • To manage and ensure the success of entertainment and events.
  • To help develop, coordinate and implement innovative and eye-catching events that promote British interests in Morocco, supporting HM Government’s political, economic, consular and cultural objectives.
  • To agree menus, dress code, table arrangements and placement with HMA/ Residence staff.
  • To ensure that menus and name cards are prepared.
  • To compile final guest lists and oversee security arrangements.
  • To make appropriate adjustments for particular guests (including seating plans, greeting, adapting menus according to dietary requirements and keeping a record of who has attended which events, in the process becoming the corporate memory for the Residence, ensuring continuity between Ambassadors).
  • To assist with the organisation of the QBP by maintaining and sharing knowledge of invitees and guests.
  • To assess the need for, organise and hire extra staff for high-capacity events where necessary. 
  • To oversee development of catering and menus for events to ensure quality and variety.
  • To make purchases of food and drink for official events, ensuring quality and value for money.
  • To ensure that the official drinks stock is replenished and that the inventory is up to date at all times.

Selling into Wider Markets:

  • To identify and organise revenue generating events at the Residence.
  • To identify and organise events at the Residence for British companies.
  • To identify and organise events at the Residence promoting British culture.
  • To identify and organise charitable events at the Residence.

Estates: 

  • To manage routine and large maintenance and Health & Safety projects at the Residence.
  • To be the main coordinator of the major refurbishment project of the Residence (a project lasting at least six months and costing over £500,000).

Finance:

  • To manage Residence budgets, including liaising with the Finance Team on current and forecast spend, cashbox spend and replenishment, ensuring value for money for any purchases.
  • To oversee financial compliance and good conduct of Residence staff.

Staff:

  • Line management of four LE Staff: 1 Chef, 2 Housekeepers and 1 Gardener. Including managing appraisals, leave and overtime.
  • Arrangement for purchase and maintenance of appropriate staff uniforms.
  • Development of Residence staff, including supporting training opportunities where appropriate.

The Embassy aims to offer an attractive working environment and remuneration package for this role, including: gross salary of MAD 13,372 per month, inclusive of all allowances. The contract will be a Full Time, Fixed Term for three years.

Conditioned working hours for the position are 38 hours per week Monday to Friday.
