Main purpose of job:

The successful candidate will be expected to manage the Technical Works Group (TWG) Stores.   Candidates should have general knowledge of building, electrical and mechanical items found in the building and construction industry.

Roles and Responsibilities:

1. Responsible for all aspects of TWG stores, procurement for the mission for both FCO & DFID residential and non-residential properties,

2. Ensuring full accounting of all TWG equipment held within the estate and the store, providing up-to-date records of documentation and proper filing for audit purposes.

3. Responsible for procurement of FCO compliant domestic equipment for the estate.

4. Ensuring stocks of diesel fuel are maintained at 90% with full records kept for all emergency/standby generators across the estate. IAW FCO guidance

5. Prepare the budget for every Financial Year discussing with CSM, TWS, Estates and Accounts. Ensure that TWG are within monthly budget and expenditure and monitor. Monitoring of stock budget and the purchases are also contained within budget.

6. Ensure approved projects procurement according to the OGD codes, raise the purchase order and process for payment according the correct OGD codes and keep up to date record.

7. Present a record of monthly expenditure. 

8. Raising PRISM requisitions and follow-up the order deliver forecasts accordingly and invoice receipt in PRISM and process for payment. Liaison with Manila hub for any invoice and payment issue if needed.

9. Apply the same for DFID monthly properties expenditure and process for reimbursement if needed.

10. Procure compliant goods from local market & UK suppliers for all FCO & DFID properties and ensuring the standard of quality, delivery time and value for money through P2P process.

11. Process all Invoices on time and to make payments through GPC and or prism requisition. Receipt and send to Accounts and or Manila and liaise with them to ensure the charging codes and payments are met on time.

12. Closely work with the Estates Team for all the properties related issue.

13. Ensure the store is maintained in an orderly fashion.

14. Maintain a stock of FCO compliant Health and Safety equipment for regular or urgent usage.

15. Maintain a compliant and portable appliance tested stock of electrical Float items for residential properties, ensuring full record are maintained.

16. Manage and record the storage and issue of all Control of Substances Hazardous to Health items to FCO compliance.

17. Keep a full record of personal protection equipment (PPE) issued to all staff. Ensuring a stock of compliant PPE items for are held.

Responsible for line managing 1 x A1(L) Stores Assistant

Essential: 

  • Education: Bachelors degree or 5 years of Supervisory role in a similar position
  • Have strong IT (particularly MS Word, Excel and Outlook) and knowledge of the internet for use in research work.
  • A proactive dynamic individual with a can-do attitude, who works well in a team.
  • Be well organised and able to demonstrate flexibility.
  • Excellent interpersonal and communication skills.
  • Have a track record in managing and prioritising your workload.

Language requirements:

Essential Language: English

Level of language required: Exceptional command of written and spoken English.  

Desirable: 

Programme management experience.

For other than BHC candidates, salary range will be ­­­­­­BDT 80,216 – BDT 139,240 per month. Salary will be commensurate with the successful candidate’s experience and qualifications.
