The UK Representation to the European Union (UKREP) in Brussels is part of a world-wide network of 230 Diplomatic Posts, representing British political, economic and consular interests overseas and is now looking for a full-time A2L Policy and Administration Support Officer in the Foreign Policy and Development Team at the United Kingdom Representation to the European Union.

This is an exciting time to be working in the UK’s Representation to the EU, as the UK negotiates its future relationship with the European Union. After leaving, the Government wants a deep and special security partnership with the EU, so these jobs will involve helping organise events, projects, visits and campaigns to underpin and take this forward. These are important roles that will increase the efficiency and effectiveness of friendly and dynamic teams by providing high quality administrative and policy support. They would suit highly motivated individuals who enjoy being busy, have excellent organisation skills, and who are flexible and willing to take on new opportunities as they arise. The role would be well suited to an individual with an interest in UK and EU politics and international relations.

 Main Duties and Responsibilities

  • Support the design of, and lead on managing and coordinating events, from small workshops to large receptions. Preparation and management of guestlists, catering and logistics, including escorting visitors/guests;

  • Provide support (including secretarial/administrative) for high level visits by Ministers and senior officials coming to Brussels to engage with EU counterparts; and EU counterparts’ visits to the UK; provide secretarial/administrative support at Councils (if applicable, and until we leave the EU in March 2019);

  • Support Desk Officers on foreign policy files, including research and outreach, both online and in person. Carry out administrative duties as required, including document retrieval and distribution; preparing briefing packs; arranging set up for external meetings; ordering office supplies; maintaining an orderly office environment; co-ordinating team-wide travel and expenses; budget monitoring; document retrieval and distribution;

  • Provide Personal Assistant Support to the Foreign Policy and Development Counsellors;

  • Occasionally representing the UK at external policy meetings and taking notes of meetings with stakeholders either when accompanying team members or deputising for them at events hosted by stakeholders in Brussels.


  • Good knowledge of the EU and its institutions;
  • Fluent command of English (oral and written);
  • Good command of French;
  • Strong IT skills with sound working knowledge of Microsoft Office (including Excel);
  • Proven skills in delivering results under pressure, excellent organisational ability and a proactive results-driven approach to problem solving;
  • Proven ability to work autonomously, support others and deliver results, including in a fast-paced and changing environment;
  • Excellent administrative and organisational skills, with proven ability to manage plan and prioritise tasks and workload;
  • High-quality communications and drafting skills;
  • Strong teamwork and interpersonal skills.

  • Interest in and understanding of international affairs, and UK and EU politics and policy;
  • Previous successful team coordination/PA experience;
  • Ability to think strategically to spot opportunities;
  • European language skills not specified above.

Terms and conditions

This is a permanent full-time contract for 5 working days (36.25 hours net) per week.

The monthly salary for this position is €3,175.72 A2 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
