Residence Coordinator

Main purpose of job:

To assist the Residence team, collaborating with the organization of events as well as with the administration and maintenance of the Ambassador's Residence. This is a six-month paid internship, with possibility of extension, in alignment with Argentinian Internship Regulations.

His/her main responsibilities will be:

  • Assist the Head of Residence with usual tasks regarding expense control and registers. ·    
  • Provide Support during official and non official Events held at the Residence.·   
  • Maintain fluid communications with suppliers and update the supplier’s database (purchase order numbers, bank and contact details, etc)   
  • Report maintenance requirements to the corresponding area and follow up on their status 
  • Point of contact with Estate team for cleaners requests·       
  • Assist the Residence’s butler in the updating of inventories of beverages, crockery, among others.·     
  • Edit and send invitations to the events that are organized at the Residence.·         Follow up on the RSVP received for each event.·     
  • Provide quotes for future events, taking into account the supplies and requirements each event needs.·    
  • Control and process supplier’s invoices.·     
  • Maintain fluid communications with staff and keep them informed of future events, as well as important news.

Skills and experience required

·         Fluent in Spanish and English

·         Preferably, previous experience organizing events.

·         Teamwork and flexibly, showing a willingness to collaborate in all aspects related to team activity

·         Advanced computer skills (Microsoft Office and Excel)

·         Customer Service: dealing with internal and external clients.

·         Proactive attitude: willingness and ability to take the initiative

·         Resilience and ability to remain calm under pressure or critical situations.

·         Excellent organizational skills and ability to meet deadlines and establish priorities.

·         Capacity to bring fresh ideas and to work under their own initiative,

Working patterns:

Standard working hours: 20 hours per week according to Internship Regulation in Argentina. 

Monday – Friday 9:00 – 13:00hs – can be flexible around studies.

Some out of hours work may be required for events.
