Residence Coordinator

Length of contract : 2 Years

Working Pattern : Part Time

Main purpose of job:

To run the official residence of the British Ambassdor to Nepal to a high standard, working closely with the household staff Ambassador, his personal assistant and members of the Embassy and 1HMG team. Duties include:

  • To ensure the house and events help deliver the Ambassador’s objectives.
  • To lead, manage and oversee the work of the household team.
  • To ensure visitors are professionally cared for during their stay, including H&S requirements are met (with advice from the CS team).
  • To ensure events at the Residence are delivered to a high standard.
  • To be responsible for Residence income and expenditure.
  • To be responsible for the Residence official furnishings/inventory.  
  • Overseeing the compound gardens and Residence maintenance (work done by others).

The Residence team’s duties include: supporting all official entertainment; meal and catering planning, cooking and service; cleaning and laundry; preparing for and looking after guests; stock control; administration and budgeting tasks.

Roles and responsibilities 

Staff management

  • Manage, oversee and give direction to the team; to ensure the team pursue their personal development; to support staff during periods of change.
  • First-point of contact for outsourced personnel.
  • Operational Management.
  • Ensure successful day-to-day operation of the Official Residence to a high standard.  
  • Ensure that the Residence including garden is well kept at all times.
  • Continuously review operations to identify better ways of working to secure best value for money and resource savings.
  • Work closely with the Estates and Security Managers and their team over security/maintenance issues.

Events Management

  • Take responsibility for the organisation of events at the Residence to a consistently high standard.
  • Work and negotiate effectively with external clients and contractors (working with HMA’s PA).

 

Financial Management

  • To manage Residence income and expenditure, ensuring full compliance with FCO financial rules and ensure value for money. 
  • To plan, profile and track expenditure for the Residence including costs of official entertainment, procurement of goods, uniforms for staff, wine/drink stocks, etc.
  • To be responsible for stores and inventory management including food, drink, furniture and other household effects.

Resources managed 

Up to 5  staff  - a mixture of in house and contract staff  Residence staff (Chef, Head Steward, Steward/Cleaner, Laundry Attendant). Many more for events.

  • Proven staff management and delivering through a team.
  • Computer literate – Word, Outlook (email) and Excel.
  • Working visa, if not Nepali , or have the status to work in Nepal.
  • Prior work experience in catering / hospitality industries for at least two years.
