The British Embassy in Pristina, Kosovo, is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking to recruit a full-time (maternity leave cover) Programme Finance Assistant.

Integrated within Programmes, Economy and Governance Section, the main role of the job is to work to the Head of Section in managing overall programme finances, provide programme/project administrative support, and assist with inward visits.  

This is an exciting and challenging role. The successful candidate will be exposed to working with all Embassy teams, and as such, willingness to help others and good verbal and written communication skills are crucial to the role. In addition, the successful candidate must be well organised and have an eye for detail.

Main duties and responsibilities:

  • Prepare Conflict Stability and Security Fund (CSSF) and International Programme (IP) financial reports. Work closely with implementers and Policy Delivery Assistants on budgets, invoice processing, supplier set-up, funding projections, forecasting, budgeting, and other Oracle system related tasks;
  • Maintain high standards on the Financial Performance and Compliance Indicators (FPCIs). Monitor reports and address invoices on hold, open purchase orders, retrospective purchasing and accruals. Oversee finance and invoice processing, and provide solution to possible problems;
  • Handle internal and external requests for information related to programme finances and data. Prepare written responses to routine enquiries. Oversee British Embassy’s input in Oversees Development Aid (ODA), Management Information Systems (MIS), and other systems;
  • Provide a quality customer service. Provide pro-active guidance on accounts processes to the team and wider mission. Familiarize, understand and cascade best practice and/or training of all FCO accounting standards, processes and internal audit requirements;
  • Conduct administrative duties. This includes organising the Programme Board and other programme related meetings, prepare documents, take minutes, and regularly follow-up on agreed actions;
  • Support existing Economy and Governance Section projects as required, including assist in monitoring and evaluating their impact, managing budgets to ensure value for money and producing narrative and financial reports to deadlines;
  • Assist with Donor Coordination activities, aid effectiveness and coordination of policy and project delivery; develop contacts; and oversee input into the Aid Management Platform;
  •  Schedule and coordinate meetings, appointments, events, and visits. Must be able to follow standard operating procedures and written processes with minimal supervision.



  • IT proficiency and ability to work across multiple platforms and experience with an Oracle package or similar online database as well as Microsoft office programmes (Excel, Word, Power Point);
  • Fluency in written and spoken English and Albanian languages;
  • University degree (preferably Finance and/or Accounting);
  • Two (2) years of relevant working experience in administration of Programme/Projects and/or any other finance related work;
  • Excellent attention to detail and organisational skills;
  • Demonstrable analytical skills, and ability to make sense of complex information. Ability to process and understand large amounts of data and information, turning into concise and accurate reports.
  • Problem solving and ability to think through the next steps to make a positive change;
  • Strong interpersonal and communication skills;
  • Ability to work independently as well as communicate with the team and a broader office platform;
  • Ability to respect the confidentiality of work issues;
  • Resilience, and the ability to work under pressure.

This is a temporary full-time position of 5 working days (36 hours net) per week, to cover a maternity leave for a minimum of 8 months, with possibility of extension by mutual agreement until the jobholder returns.

The monthly gross salary is € 1236.25 and will be paid at a local A2 level.

The successful candidate, will be subject to confirmation of a professional background check and security clearance with a probationary period, and is expected to commence employment as soon as possible.
