The British Embassy in Moscow is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Corporate Services Support Officer.

Corporate Services is one of the core departments of the British Embassy in Moscow. This is a temporary role for 12 months and will offer the successful candidate an opportunity to learn a wide range of functions. The officer will provide support to the wider team and be responsible for a range of finance activities and cover for logistic arrangements in compliance with Foreign, Commonwealth and Development (FCDO) policies.

The Corporate Services team supports the wider British embassy platform, and this role is an integral part of the team. You will need to work to tight deadlines, show enthusiasm for being flexible and managing changing priorities, learning new tasks along the way. Clear communication with all staff is key to getting the information you need to meet deadlines.

 

This is a great opportunity to work with both internal and external stakeholders and to gain a strong knowledge of the corporate services platform available to all staff.

 

Attention to detail and careful management of cash funds is also an important function.

 

What will the jobholder be expected to achieve:

 

Corporate Support:

  • Oversight of the staff cost recovery process services; supporting inventory updates;
  • Providing support with Corporate Services purchase to pay processes as necessary. (e.g. requisitions, activity recording etc.);
  • Liaison with parents and external companies for school and school bus placements;
  • Housekeeping of the Corporate Services archives;
  • Manage the administrative needs of the section including procurement of small items;
  • Ensuring internal policy compliance;
  • Supporting Senior Management in Corporate Services as necessary;
  • Other duties as deemed operationally necessary by the Head of Section.

 

Logistics Officer Back Up:

  • Covering for logistics officer in their absence, helping arrange transport for the wider FCDO and ensuring that there are adequate systems in place to record UK based staff arrivals with the Ministry of Foreign Affairs. Arranging PCR tests for staff when necessary and acting as the liaison point for travel enquiries.

 

Finance Officer Back Up:

  • Covering for finance officer in their absence by administering accounting operations to meet FCDO requirements; keeping accurate records for all daily transactions; handling financial enquiries. Support HMA Residence team with income generation activities.

 

Committee Support:

  • The successful officer will be a key role in supporting one of the many committees in the Embassy. For example the Learning and Development committee provides staff an opportunity to develop their language skills, together with other key development activities.
  • Fluent English (C1 oral and written) and Russian (C2 oral and written);
  • Proven MS Office skills (Microsoft Outlook, Word, Excel);
  • Previous experience in administrative roles;
  • Proven ability to work successfully in a team;
  • Excellent customer service skills and a professional manner.
  • Previous relevant work experience in a diplomatic mission.

This is a 12-month full-time fixed term contract, 5 working days, 35 hours net per week.

The monthly salary for this position is Rub 90,779 gross, AO level, paid 13 times a year.

The successful candidate will be subject to professional background check and security clearance.
