Corporate Services Support

To provide full office support to the British Ambassador (resident in Santo Domingo) and the Charge d’Affaires (resident in Port au Prince). Responsible for updating the Embassy social media; management of the Chevening Scholarship scheme; visit programme planning; official event organisation; local budget management.

 

Roles and responsibilities:

Executive Assistant (60%)

 

The full range of activities required to ensure the smooth running of the British Embassy, which includes:

 

  • Making appointments, organising official entertainment and transport for the Charge d’Affaires and official visitors
  • Arranging the Ambassador’s programme for her monthly visits
  • Managing the Embassy’s official communication with Haitian institutions, including the Ministry of Foreign Affairs, customs authorities and other diplomatic missions. 
  • Drafting letters and official documents in French
  • Arranging regional visit programmes for official travel of the Chargé d’Affaires

 

Corporate Services (20%)

 

  • Day to day management of the Embassy’s financial accounts, liaising with colleagues in Santo Domingo and submitting monthly reports;
  • Support for the Chargé on corporate service tasks not administered by colleagues in Santo Domingo;
  • Liaison with Embassy of Canada on practical arrangements of co-location agreement;

 

Projects and Scholarships (15%)

 

  • Administrative support for small projects run by the Embassy,  including updating project documentation, ensuring that all projects are evaluated and progress reports completed and sent to London;
  • Administrative support to the Embassy Chevening Scholarship programme, liaising with the Chevening Secretariat in London on practical arrangements for the annual scholarship recruitment process;
  • Focal point for the Chevening and other British Alumni Group;

 

Digital and Press (5%)

 

  • Updating the Embassy’s Twitter feed in French and Kreyol
  • Monitoring the Haitian media for political and economic developments, ensuring that items of interest are flagged up to the Chargé d’affaires and the Ambassador. 
  • Outreach to Haitian media outlets.

 

Essential on arrival: strong written and oral communication skills including fluency in English; Good IT skills (Word, Excel, Outlook and PowerPoint); administrative/office experience. Ability to work as a team player, including remotely with colleagues in Santo Domingo and London.


 


Desirable: Programme and budget management experience. Social media experience. Experience or interest in UK.

The British Embassy offers extensive learning development opportunities. The job holder will have the chance to undertake training, including communications and project management courses.  In addition, the job holder will have access to an extensive selection of UK government online learning.

There are regular opportunities to travel to Santo Domingo, including for an annual Learning and Development week.

The role offers extensive opportunity for learning on the job, including through working closely with the Ambassador, the Chargé d’affaires, and visiting colleagues.

The British Embassy in Port au Prince is a 2 person team, whose offices are co-located in the Embassy of Canada. 

The British Ambassador to Haiti is resident in Santo Domingo, and visits Port au Prince regularly. 

You will work closely with British Embassy staff in Santo Domingo, which has Consular and some Corporate Service responsibilities for Haiti.  There are regular opportunities to travel to Santo Domingo, and elsewhere.
