Main purpose of job:

The Department for International Trade (DIT) Africa is one of the nine DIT global Networks and is led by Emma Wade Smith, HM Trade Commissioner.

The Africa Region is exciting and energising and UK firms have a strong presence here, making the UK the second largest investor on the continent. With some of the strongest growing economies in the world and booming population growth there are numerous more opportunities for UK firms; from tech start-ups in the West to infrastructure in the East. The Network’s role is to promote these opportunities and position the UK as the continent’s number 1 trading partner and investor. Although a relativity small Network we like to think we punch well above our weight and last year returned over £2,500 to the UK economy for every £1 we spent.

We are looking for a personal assistant to the HMTC to efficiently manage the HMTCs daily activity, administrative tasks and provide administrative support to the wider DIT Africa Network. This is short term cover while we recruit a substantive Post.


Roles and responsibilities :

  • Efficiently manage the Trade Commissioner’s time by organising the diary and daily papers, and prioritising and responding to invitations and requests for meetings.
  • Deal with routine enquiries; ensure that all correspondence (letters, emails, faxes, etc) is dealt with correctly and efficiently.
  • Plan and support the DIT Africa team’s planning and implementing of the Trade Commissioner’s travel, including flights, visas, hotels, programme and papers.
  • Complete all expenses and other ad-hoc tasks for the Trade Commissioner accurately and efficiently. 
  • Commission and collate briefing as required for the Trade Commissioner’s events / meetings. 
    Act as the Trade Commissioner’s Information Management Officer, ensuring that information is recorded and stored correctly. 
  • Manage the two DIT drivers’ schedules for maximum benefit to the Trade Commissioner and Johannesburg trade team.
  • Provide similar support to the Deputy Trade Commissioner (based in Cairo, Egypt) and other seniors as requested. 
    Work as a flexible and adaptable member of the DIT Africa Network in order to work on varying tasks from both the Hub and across the Network

 

  • Minimum 3 years work experience in a similar administrative role
  •  Excellent organisational and planning skills
  •  Excellent interpersonal skills
  • Excellent oral and written communications skills in English
  • Self-starter
  • Excellent IT skills

Language requirements:

Language: English

Level of language required: Fluent


  • Previous experience in a relevant area such as international relations
  • Understanding of the UK agenda
