Main purpose of job:

The Regional Payroll Officer will be responsible for processing and auditing payrolls and related payments for locally employed staff working at British High Commissions/Embassies in the region.

Roles and responsibilities:

PAYROLL ADMINISTRATION

  • Responsible for collating, capturing, processing and updating the payroll for all local staff in the network
  • Ensure efficient processing of annual pay awards, 13th salary payments and benefit calculations
  • Produce regular and ad hoc payroll reports for the HR Hub team and Posts
  • Trouble shoot any payroll related query or issue, working closely with the employee or Post involved
  • Maintain a filing system for each pay period according to local and FCO requirements
  • Ensure monthly backups of the Payroll Software is updated and stored according to all Payroll and Security procedures

PAYROLL SERVICE DELIVERY

  • Along with the Payroll Supervisor, administer payroll for all posts to ensure all payments are accurately paid on time and keeping all stakeholder accountable to timelines
  • Review and document payroll procedures, advising both staff and managers when needed
  • Take initiative to identify any areas for improving or automating the payroll processes
  • Interpret HR policies and procedures and apply them to payroll, where applicable

PAY AND BENEFITS ENQUIRES

  • Answer all pay and benefits enquiries from internal and external stakeholders
  • Respond to payroll related issues regarding local staff

 GENERAL HR

  • Maintain individual payroll files for each employee

 TEAM ADMINISTRATION

  • Participate as an active team member and take on any ad hoc HR team projects as appropriate
  • Support HR Hub Management with effective delivery of all pay related matters and other reasonably requested assignments
  • Two to three years relevant HR, payroll and/or compensation experience
  • Proficiency in VIP, Pastel (SAGE) Payroll or PayDay payroll software
  • Exceptional attention to detail and accuracy
  • Excellent oral and written communication skills, as well as organisational skills 
  • Outstanding interpersonal and communication skills, with the ability to work with people at all levels of seniority in a fast-paced environment
  • Must be able to work independently as well as part of a team
  • Proficient in all MS Office applications, specifically Word and Excel

Language requirements:

Language: English (French and/or Portuguese will be an added advantage)

Level of language required: High proficiency in written and spoken  English

- Learning and development opportunities (and any specific training courses to be completed):

  • Regular training as provided by the Payroll Software provider
  • On the job training for Prism, an oracle based software for data management

- The British High Commission pays in full for the Key Care Plus option on Discovery Health for staff including spouses/partners and dependants.

- Once you have successfully completed your probation the British High Commission will contribute 9% of your monthly salary to a Provident Fund.

- Annual leave entitlement of 25 days.

- Working hours per week of 40hrs.
