Main purpose of job:

The British Embassy in Jakarta is part of a world-wide network of 270 Posts, representing British political, defence, economic, trade, and consular interests around the world.  We are seeking a dynamic Support Assistant to manage our day to day administrative activities of the embassy’s External and Internal Political Teams.

The jobholder will have an exciting opportunity to develop himself/herself further utilising the Embassy global network, working closely with Indonesian Ministries and agencies as well as UK government departments and Regional Hubs.  The jobholder must have a professional approach, as well as the ability to communicate in English with clarity, ideally in writing and in person.  

This is a permanent position however the successful candidate will be offered a 1-year Fixed Term Contract in the first instance with the opportunity to extend it.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Manage the political devolved budget by monitoring and forecasting External and Internal Political Teams budgets;
  • Performing financial work for the Embassy political unit and ensuring payments are made in accordance with FCO financial procedures using Oracle based accounting system process purchase orders, credit card payments, set up suppliers, raise requisitions, and prepare invoices;
  • Provide administrative support for visits from and to the UK (including ministerial visits); events and meetings for both the internal and external political unit.
  • Draft note verbales to Indonesian government departments on a range of topics; 
  • Work with other Corporate Services Officers in the embassy to manage the teams day to day operations (i.e logistics for visits);
  • Develop strong working relations with all teams in the Embassy;
  • Contribute to the Embassy’s wider corporate agenda.
  • Bachelor’s degree from recognisable university;
  • Fluent in Bahasa Indonesia and English
  • Experience of working with budgets and monthly financial forecasts
  • A keen sense of honesty, integrity and confidentiality;
  • Excellent interpersonal skills with the ability to work as part of a team;
  • Good IT skills and experience; including MS Office (experience of accounting/financial software)

This role will primarily be based in the embassy political team however some travel within Indonesia will be expected.  This position is also eligible for some home working depending on business need.
