Main purpose of job:

We are looking for a Driver/Corporate Services Assistant to support the British Consulate General, Sydney

The successful candidate will be responsible for driving and maintaining the vehicles at the Consulate as well as a range of administrative tasks including events assistance, security and building management liaison and ad hoc procurement. 

This is an interesting and varied role, which will involve Ministerial and senior officials’ visits to Sydney. There will be some driving tasks that require an early start or late finish, and overtime will be available for hours beyond the contracted weekly hours. As the Consul-General represents Her Majesty’s Government at commemorative events in New South Wales, there will be a further need to work on certain weekends. The successful candidate will need to be flexible and resilient to help cover last minute changes to transport plans during busy periods.

Roles and responsibilities:

Transport of passengers, goods and/or documents:

  • Provide safe and punctual driving services to the Consul General, Deputy Consul General, staff and official visitors to appointments, functions and airports during office hours and after hours as necessary.
  • Be familiar with the best routes to and from destinations and be prepared to alter routes when necessary.
  • Facilitate airport pickups for VIP visitors and transportation during official/VIP visits and follow pre agreed programmes.
  • Deliver correspondence to government authorities/organisations and assist in processing various permits (such as airport pass etc.)
  • Deliver payment documents to the bank.

Vehicle maintenance:

  • Daily check of oil, water, brake fluid, battery and tyres
  • maintain the official vehicles in clean condition, both inside and outside.
  • Ensure vehicles are serviced on time and schedule vehicle servicing in consultation with Network Security Manager.
  • Ensure the safety of passengers and vehicles at all times when on duty.

Administration:

  • Keep track of car registration renewals.
  • Complete accurate daily vehicle record sheets for each vehicle. Sign out/return vehicle inspection when vehicles driven by other staff
  • Conduct purchases for office expenditure GPC (officially provided card), obtain receipts and account for all expenditure.
  • Develop useful contacts.
  • Opening and despatch of Diplomatic bags
  • Liaise with Building Management and Facilities Management provider, including raising work orders
  • Participate in crisis exercises and assist as required in responding to any crisis.

Events:

  • General event assistance, including set up/clearing up for events held in the Consulate boardroom
  • Maintain official stock inventory

Security/Health and Safety

  • Fire, Health and Safety and security liaison (including with building management)
  • ID pass issuing and programming
  • Security/Health and Safety induction for new starters
  • Security relief cover

Other

  • Assist with maintenance contractor management.
  • Other ad hoc duties as required

Essential on arrival:

  • Holds a current full clean driving licence.
  • Able to multi-task and prioritise urgent work while ensuring that routine tasks are not overlooked.
  • Ability to work independently as well as a member of a team.
  • Ability to work flexible hours (including some evenings/weekends).
  • Able to present a professional image
  • Positive attitude and a customer-focused approach
  • Displays personal integrity, honesty, and discretion
