The Foreign, Commonwealth & Development Office’s (FCDO) diplomatic missions in the Benelux, part of a world-wide network of over 230 Posts representing British political, economic and consular interests overseas, are now looking for a full-time Corporate Services Officer to join Corporate Services Benelux (CSB).

Corporate Services Benelux (CSB) leads on operational support to the UK Diplomatic Missions in Brussels, local Devolved Government offices and the UK Border Force Brussels office. We manage and deliver a broad range of operational and strategic work on staff issues (locally recruited and UK based), finance, IT, security, transport and residential accommodation.

The successful candidate will be part of the UK-Based Support Team in CSB. They will be an organised self-starter, with a flexible ‘can do’ approach who has an eye for detail, and excellent communication skills – fluency in English and French or Dutch is essential.

 What you will be expected to achieve?

Language Officer

  • As the Language Officer for the Brussels Missions, ensure that UK-Based officers, seconded staff and spouses/partners are aware of their eligibility to language training at post
  • Work closely with the International Academy and the Language Unit based in London to ensure that their language policies are applied correctly
  • Manage the relationship with local language teachers and schools, to ensure effective collaboration, sourcing new providers when required
  • Raise requisitions on the FCDO’s digital platform

Protocol

  • Lead on providing administrative support to Border Force officers on a posting to Brussels. Working closely with the Belgian Ministry of Foreign Affairs and the local municipalities, ensure that officers and their families are accredited in a timely manner and that they are de-registered on departure from post
  • Attend regular meetings with the Border Force management team and act on feedback received from BF officers
  • Processing of customs forms for duty-free purchases and VAT exemptions
  • Visits to the tax office for processing of documentation
  • Processing requests for parking permits, official letters and airport passes
  • Provide cover on other areas of Protocol to ensure business continuity when colleagues are absent

General administrative tasks

  • Management of arrival notifications and departure checklists
  • Lead on ensuring that the information published on the UKBS Teams site is kept up to date
  • Liaison with Partners Across Government (PAGs) concerning charging for services that fall outside the One HMG MoU
  • Update Partners Across Government staff lists
  • Collate information for the finance manager on accommodation costs for One HMG change requests

Flexibility

  • Provide cover for other members of the team during busy periods and absences
  • Undertake other duties as directed by the team leader

Our ideal candidate shows: 

  • Fluency in written and spoken English, French and/or Dutch (minimum C1 level for CEFR framework*)
  • Previous experience as Office administrator, admin assistant or similar support role
  • Experience dealing with external contractors/stakeholders
  • Ability to multi-task, plan ahead, prioritise and act on own initiative
  • Proven MS Office skills (Microsoft Outlook, Word, Excel) and Teams

This is a full-time temporary contract for 5 working days (36.25 hours net) per week. This position will be filled on a replacement contract to cover a Maternity Leave. It is anticipated that the staff member will return in September 2023. This date is only approximate and any possible earlier return or extension to this date would be discussed with the successful candidate. 

The salary for this position is €3,849.03 gross per month. In addition, we offer an extensive salary package, which includes a 13th month, luncheon vouchers, pension scheme, optional hospitalisation insurance (subject to monthly employee contributions), reimbursement of public transport and a lot more. We offer more days of annual leave than the Belgian requirements.

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

Staff recruited locally by the British Diplomatic Missions in Belgium are subject to Terms and Conditions of Service according to local Belgian employment law.

The successful candidates will be subject to professional background checks and security clearance.

Passport: the position holder will be expected to be in possession of a passport due to the possibility that they may be asked to undertake business travel.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Belgium and be prepared to ensure that right remains throughout the scope of the contract.
