The British Consulate General in Erbil is seeking a highly motivated and enthusiastic individual for the position of Corporate Services Support Officer, Grade – AO.

Main purpose of the role:

Working in the British Consulate to provide a cross section of important support services.  The jobholder’s main responsibilities will include the organisation of inward visits and delegations, acting as IT Support Officer, and providing clerical and PA support to the Consul General/Deputy Consul General.

This is a varied and busy job, which will suit someone looking to play an active role at the British Consulate General Erbil. The post holder must have well developed interpersonal skills. The job can be challenging at times, but it can also be very rewarding.   

Main Duties and Responsibilities:

Personal Assistant to CG and DCG 40%

  • Responsible for the Consul General and Deputy Consul General's schedule and diary, working across the mission and with outside contacts;
  • Support corporate communications work done by the Consul General and his Deputy including commissioning briefing, drafting, editing and sending messages to all staff and producing presentations for all staff meetings whenever necessary;
  • Ensure receptions/ meetings/ events hosted by the Consul General/Deputy Consul General are well-planned and delivered efficiently, including by liaising with suppliers and contacts;
  • Maintain registers, diaries and databases as required for audit compliance;
  • Take minutes of meetings and distribute as required.

Visits Officer 30%

  • Take responsibility for all aspects of the organisation of individual visits;
  • Accompany, meet on arrival, and see visitors off on departure. Organise programmes liaising with the involved institutions;
  • Maintain productive relationships with hotels, airlines, transport companies and other vendors;
  • Maintain visits list;
  • Perform other administrative duties as requested.

IT 30%

  • Support to IT infrastructure management and upkeep of servers, systems, network and application support;
  • Support to end user devices and act as local Help Desk support responding to queries, including support of telecommunications and video-conferencing;
  • Proactively maintain IT Infrastructure, reporting incidents and degradations in performance promptly to the Helpdesk and escalating through the correct channel [KTD IT Service Manager (ITSM)] where necessary;
  • Administer user accounts (for Firecrest and standalone network) e.g. requesting new account creations from the Helpdesk, and where no Helpdesk intervention is necessary unlock, disable, enable and reset passwords;
  • Setting up new arrivals with workstations and access to systems;
  • Review, procure, install and maintain FCDO corporate and non-corporate hardware equipment (e.g. desktops, laptops, printers, and servers);
  • Manage of spare laptops and order replacement spares to replenish those used to resolve a fault;
  • Administer stand-alone machines and non-corporate internet access;

* Take part and assist in duties for the wider Corporate Services team as required.

Essential:

  • Fluent communication skills in English and Kurdish language
  • Proven experience in working in a support role within a wider team;
  • Bachelor’s degree in Business Administration (emphasis Accounting and Finance);
  • Strong organisational skills;
  • Excellent attention to detail, ability to work to strict deadlines and good prioritisation skills;
  • A flexible approach to tasks;
  • Strong IT skills, especially in Microsoft Excel.

Desirable:

  • Fluent spoken and written communication skills in Arabic language.

Working Hours and Remuneration:

The role grade is AO grade, with a base salary of US $ 1,646 per month. This base salary is paid 13 times a year. In addition a monthly security allowance of $200 is payable. The allowance is subject to review and may be altered or withdrawn at any time. No accommodation or relocation expenses are payable in connection with this position.

This position is offered on a Full Time, Permanent contract basis.

Conditioned working hours are 38 hours per week. Normal working hours are Sunday - Wednesday 0900 – 1700 and Thursday 0900-1500. The annual leave entitlement is 20 days plus up to 14 public holidays [UK/Iraq]. Other benefits include the British Consulate General Erbil medical scheme (which also covers dependants) and access to subsidised restaurant facilities.

The successful candidate will be subject to a 90 days probationary period.

The Embassy encourages a culture of continuous learning. All employees have access to the Civil Service Learning platform, which gives access to training to improve job specific skills. The successful candidate will be able to access FCDO online communications training materials.

Eligibility:

If you are selected for this position, we will be able to employ you as long as you:

  • Receive the appropriate level of local and UK security clearance;
  • Applicants are responsible for ensuring they have the right to live and work in Iraq including the Kurdistan Region of Iraq. Obtaining the correct permissions can be particularly complicated if employees and any dependants are not already resident in the country.  Unfortunately, neither the Consulate nor the Embassy can arrange Iraqi residency as this is a position based on country based staff terms.
