Main purpose of job:

The Corporate Services group of the British High Commission is seeking to recruit a professional individual with strong customer service, administrative and budget skills for the position of Corporate Services Officer. The main purpose of the role is to support the operational delivery of Estates and Health & Safety work to ensure a safe and compliant platform for all staff.

The successful applicant’s role will be to manage the arrivals and departures process, manage Estate support staff, including outsourced resources.

Roles and responsibilities / what will the jobholder be expected to achieve:

  • Management of Estates management database for Kingston and Nassau, ensuring estates systems and data are maintained and verified on a regular basis, including keeping updated information of all properties;
  • Conduct furniture auctions, manage rolling furniture and redecoration programmes across residential estate, co-ordinating with overseas and local suppliers;
  • Co-ordinate with Foreman on Planned Preventative Maintenance schedules and manage Post Compliance Audit (PCA) files through maintaining Health & Safety records;
  • Record tests carried out on all equipment on compound and properties;
  • Maintain Asset Register recording assets for all owned properties and compound;
  • Assist with procurement;
  • Manage inventory of storeroom stock;
  • Undertake Continual Professional Development to maintain a level of competence sufficient to carry out the job;
  • Assist other members of the Corporate Services team as required;
  • Act as cover at Post discretion.

Budget management:

  • Monitor expenditure activities of the estates furnishings budgets.

Resources managed (staff and expenditure):

  • Line Manage 1 x Corporate Services Officer and 3 x cleaners.
  • At least 1 years’ experience in estates/facility role;
  • Strong customer service skills;
  • Resilient: able to deal with pressure and work flexibility to deal with competing demands;
  • Fluent English;
  • Candidate must have the right to live and work in Jamaica.

Candidate should also possess:

  • Ability to work cohesively as part of a team, and provide support to colleagues where required;
  • Ability to organize time effectively while taking into account customer needs and requirements.
  • Formal training in estates, projects, logistics management, business administration, or equivalent;
  • UK and local Health and safety knowledge;
  • Familiarity with procurement processes;
  • Basic finance skills;
  • Logistics – planning and moving items of furniture to different locations.
