The British Defence Staff in the United States (BDSUS) has an exciting opportunity for a dynamic person to join the United States Support Group as the Information Management and Communications Officer located in the British Embassy in Washington DC. The USSG Personnel Support Team delivers support across the USA network for British Defence Staff civilian and military personnel (ca 800+ people posted across the USA).  We are looking for a highly motivated individual who has a real passion for service delivery.  The successful applicant will be ensuring our people living across the US are kept informed on a range of important HR and support topics and developing coherent and clear information sharing platforms (i.e. webpages and team sites) to engage with our customers.  Whilst experience in an associated sector would be advantageous, it is not essential. Applications from candidates with broader experience are also welcomed.  A positive attitude and strong work ethic will be paramount.

Roles and responsibilities:

  • Serve as main coordinator of the BDSUS information website, including creating, maintaining, and assisting editing pages where required. 
  • Manage and distribute information to a variety of stakeholders. 
  • Implement the USSG Team communication plan, including pushing information to the BDSUS footprint, exploiting tools such as WordPress, Sharepoint, Defence Connect and WhatsApp and PDF Software.
  • Lead in developing and maintaining USSG Team SharePoint site and Information Management (IM) capabilities on SharePoint, in line with current Ministry of Defence (MOD) policy.
  • Liaise with the Information Hub (iHub) to ensure USSG Team members have the correct user privileges and access to the team file system.
  • Advise on, and be responsible for, the USSG Team file plan to achieve business requirements including creating, maintaining and deleting team shared drive folders where required.
  • Manage document and record holdings including storing and applying metadata to documents.
  • Contribute to the development of a Continuous Improvement (CI) culture in the USSG Team by providing advice on collaborative tools and directing their use in team Information Management (IM).

Essential on arrival: 

  • Relevant work experience or IT based qualifications.
  • Proficient in all MS Office 365 applications, specifically Word, Excel and PowerPoint.
  • Knowledge and experience of MS Sharepoint.
  • Knowledge and experience of Web Design/Management.
  • Excellent oral and written communication skills.
  • Ability to handle confidential employee issues/information and dealing with employees in a friendly and sensitive manner.
  • Must be able to work independently and as a part of team.

Language requirements: 

Language: English

Level of language required: Fluent spoken and written

Desirable: 

  • Ability to work and manipulate data and database software.
  • Knowledge and experience of working with PDFs.
  • Experience of data protection laws (ie UK Data Protection Act).
  • Experience of working with/for HMG and/or the MoD.

Working patterns: 

This role is 40hrs a week, there is some flexibility within core hours.
