Roles and Responsibilities:

  • Support the preparation of Northern Ireland Bureau (NIB) Strategy and Business Plan (BP) and reporting on progress against targets.
  • Anticipate and collate information for regular reports and statements on performance against BP targets, risk register, gifts and hospitality, stewardship statements, declarations of interest, political engagement and Executive Office annual report.
  • Provide support in the drafting of Business Cases and Post Project Evaluations.
  • Maintenance and review of NIB policies and communicating those messages to staff.
  • Strengthen connectivity with Northern Ireland Executive Departments, particularly TEO and with British Embassy systems.
  • Maintain the Bureau database of contacts for management information.

General Administration

  • Support Office Manager as required, including assisting with general office duties such as filing, ordering office supplies and answering the phone.
  • Provide back-up support to senior management at particularly busy periods, including diary management and responding to queries.
  • Manage and maintain all IT systems including computer network, landline telephones, cell phones and internet facilities in conjunction with service provides. Monitor system and network performance and address problems as they arise.
  • Maintenance of NIB Assets Registers and liaison with Finance Division re addition, transfer and disposal of assets.
  • Draft responses to other NICS exercises
  • Provide support to Communications Officer in organization of the Bureau’s public events and maintaining records and contacts.
  • Any other administrative tasks as required

  • Keep abreast of congressional affairs and other US politics
  • Drafting of briefing as required

 

  • Good organisational skills and a keen eye for detail.
  • Good written and verbal communications skills.
  • Ability to multi-task and think creatively to find solutions.
  • Ability to work as a team player.
  • Proficiency with the Microsoft Office Suite.
  • Experience with databases
