The British Embassy Amman has a vacancy for Estates Manager, job grade Executive Officer (EO).

The jobholder will supervise the provision of day-to-day estates management of Embassy buildings and Embassy compound, ensuring that the estate provides a safe, fit-for-purpose, and appropriate place for staff to work in, and that these meet UK Health and Safety (H&S) regulations and Foreign, Commonwealth and Development Office (FCDO) standards. They will ensure that the Estates team deliver high standards of customer service and are responsive to staff needs and requests. The jobholder will also work with and bring together relevant experts in construction and maintenance to ensure that a programme of works is in place to keep the Embassy, its offices, and the wider compound maintained to high health and safety standards.

The jobholder will manage estate related budgets and will responsible for all related procurement and purchasing activities, ensuring value for money. 

 

Duties and responsibilities:

  • Day-to-day supervision and management of the Embassy’s buildings and compound in line with FCDO policies and guidance.
  • Liaise with local and UK compliance colleagues to ensure that processes, record keeping, and contracts are implemented and managed according to relevant policies. Ensure that maintenance is scheduled and carried out to FCDO standards.
  • Work with the Residential Estates Manager to ensure that Technical Work Section is tasked appropriately to meet maintenance requirements, setting priorities dependant on the nature of the workload.
  • Work with the Technical Works Group (TWG), Technical Works Supervisor, and wider Technical Works Team to ensure that general maintenance services and repairs are carried out to a high standard and in line with H&S requirements. Ensure value for money is achieved and services are stable and reliable.
  • Work with the Technical Works Supervisor to manage contractors, including accessing local or UK expertise as necessary and ensuring that they meet UK standards.
  • Define and deliver compound-related contracts, working with relevant experts to define the specifications and the Procurement Officer to ensure that relevant contracts are in place for maintenance and other services. Ensure that contractors deliver against contracts.
  • Ensure correct procurement policy and procedures are followed for procuring UK and local purchases for the Embassy, including selection of suppliers and maintaining vendor relationships. Ensure integrity of the procurement process and value for money are achieved.
  • Continuously improve the Embassy and its compound, implementing projects from small builds to major projects.
  • Listen and respond to customer needs and act on feedback. Communicate across the Embassy to understand customer needs and requirements in relation to the Embassy and the compound.
  • Direct line management of one (1) Estates Officer, one (1) Residence Manager, and one (1) Receptionist. Indirect management of three (3) Cleaners and one (1) Handyman, plus input to tasking and reporting on the Technical Works Team comprised of five (5) staff.

The above list is not exhaustive and the jobholder will be required to be flexible and take on other ad hoc tasks as required.

Eligibility:

If you are selected for this position, we will be able to employ you as long as:

  • Previous relevant experience in a similar estates or facilities management role, ideally for at least two (2) years.
  • Excellent organisational skills with ability to manage, plan, and prioritise tasks and workload and a proactive approach to problem solving.
  • Flexible, resilient under pressure, and decisive, with a proven track record of delivering results regularly within tight deadlines.
  • Strong problem solving and analytical skills and resourcefulness in solving problems. Ability to anticipate and take initiative to avoid problems or fix them, and to use information and experience to solve problems effectively. Able to work independently and react calmly to situations that may arise, without constant supervision.
  • Confident and strong communicator with high customer focus and able to tailor approach to express ideas and messages clearly and concisely to different audiences.
  • Proven ability to engage and influence at all levels internally and with external contacts, and collaborate effectively across teams.
  • Excellent customer service skills. Demonstrates courtesy and consideration in dealing with stakeholders.
  • Fluency in English and Arabic, both written and spoken. Able to express ideas and messages clearly and concisely, both orally and in written communication.
  • Holds at least a bachelor’s degree in a relevant field/ industry.
  • Strong IT/ computer skills and in using MS Office applications (Outlook, Word, Excel, PowerPoint, Teams).
  • Holds a clean and valid Jordanian driving license.

The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable gross salary of JOD 1,702 per month based on 37 hours per week.

Salary will be paid gross and you are expected to comply with your tax obligations through completion of a tax return to the local authorities. If exceptionally you are not liable to pay Jordanian tax, you will receive a net salary, which is minus the deduction of an equivalent level of local tax. Further information on this will be provided at interview if necessary.

This role is for a full-time employment, on a permanent contract. The successful candidate will be subject to a 90-days probationary period (as appropriate). The appointment is subject to satisfactory local and UK security clearances. The selected candidate must have the right to live and work in Jordan.

Normal working hours at the Embassy are from 08:00-15:30 from Sunday to Wednesday and 08:00-15:00 on Thursday. The jobholder should be flexible in their approach to hours worked as these will also be dictated by operational needs and may involve working out of hours (evening and weekend) to supervise works.

The Embassy operates a flexible working policy that allows staff to work different hours as well as allowing staff to work from home one day a week, based on operational requirements and agreement with the line manager, and in line with FCDO and Embassy policies.
