The British Embassy in Madrid is part of a world-wide network representing British political, economic and consular interests overseas. It is also part of the UK’s Spain Network (including offices in nine locations). We are looking for an Administrative Officer to provide administrative support to the Political team, flexing in busy periods to also support the Economic and Public Policy team. The job will focus on a range of tasks including support to inward (to the UK), outward (to Spain) and regional (around Spain) visits, events delivery, meeting set-up, contacts management, horizon-scanning/monitoring developments, and providing general support on adhoc tasks.

 

The ideal candidate must have a can-do attitude, be an enthusiastic and flexible team player, able to deliver results quickly and accurately with strong attention to detail, and be comfortable shifting focus rapidly between a variety of different tasks.

 

This is an excellent opportunity to gain experience in a busy and energetic Embassy and contribute to building the post-EU Exit bilateral relationship with Spain.

 

Roles and responsibilities:

  • Supporting the events and visits officers with the delivery of practical and logistical elements of visits to Spain by UK officials and Ministers, including guest lists, invitations, venue liaison, budgetary management, in close coordination with the Political events officer;
  • Delivering practical and logistical elements of events organised by the political team in Spain, including guest lists, invitations, venue liaison, budgetary management, in close coordination with the Political events officer;
  • Delivering practical and logistical elements of regional visits around Spain by the Ambassador and Deputy Head of Mission, in close coordination with the Private Office team and colleagues around the Network;
  • Organising meetings and travel for members of the Political team;
  • Updating and managing the contacts database;
  • Budget planning and management for the Political team;
  • Helping gather and summarise relevant information and developments in Spanish politics through tracking activity;
  • Helping update different fact sheets, spreadsheets and templates;
  • Some support with informal translations and proof-reading in Spanish.
  • Proficiency in English and Spanish (both written and spoken, minimum of C1 level for CEFR framework*);
  • Bachelor’s degree or minimum 3 years’ experience in a relevant field;
  • Excellent written and oral communication skills, track record of organisational skills including managing multiple tasks and strong attention to detail;
  • IT Literacy, especially on MS Office;
  • Ability to work with budgets;
  • Agility and flexibility to meet changing demands.

This is a full-time permanent contract. Normal working hours are 37.5 per week. The British Embassy Madrid supports and promotes flexible working as a crucial part of our inclusive offering.

 

The successful candidate is subject to a confirmation of a background check, security clearance and the successful completion of a probationary period.

 

The successful candidate will be enrolled in the Spanish Social Security Scheme and will therefore not be entitled to any gratuity from the Embassy based on gross annual salary.

 

The Embassy is a Diplomatic Mission with tax exempt status and does not collect taxes for other States. Employees are fully responsible for payment of income tax at the legally required rate. Staff recruited locally by the British Embassy in Spain are subject to terms and conditions of service according to local Spanish employment law.

 

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Spain and be prepared to ensure that right remains throughout the scope of the contract.

The Embassy also offers the following initiatives/conditions (please note these may change over time):

  • To work flexibly and in a hybrid model (currently 3 days a week from the office if operationally viable);
