Main purpose of job:

This is a unique opportunity to work at the heart of the British Embassy with a dynamic programme of bilateral and regional activity.  You will be a key member of the small team working closely for His Majesty’s Ambassador and Deputy Head of Mission to deliver the UK’s objectives on prosperity, maritime, trade, security and other matters. 

Roles and responsibilities /What will the jobholder be expected to achieve?

Administration support and mailbox handling

  • Provide word processing and secretarial support to the Private Office team.
  • Collaborate with the Private Office team and other sections in coordinating His Majesty’s Ambassador’s meetings.
  • Dealing with a range of straightforward day-to-day enquiries from internal and external stakeholders.
  • Maintaining a contacts database.
  • Taking down minutes of weekly and monthly committee meetings.
  • Coordinate on transport scheduling and act as main point of contact in booking drivers’ daily schedule.

Events and Visits

  • Liaise with stakeholders, both internal and external, to ensure the successful planning and execution of events and visits.
  • Handle pre-event preparation (e.g. logistics, invitations) and on-site support during events and visits.

Language requirements:

Language: English and Filipino

Level of language required:  Proficient – spoken and written

  • An interest in international relations
  • In depth knowledge of office management
  • Familiarity with cloud systems and Outlook calendar software
  • Can work in a fast paced environment under pressure
