Main purpose of job:

The jobholder will provide expanded front line activities, retaining a high level of customer service and maintaining the appropriate protocol procedures.

Roles and responsibilities:

  • Operate the switchboard, acting as the first point of contact for all visitors and callers;
  • Managing the Embassy's correspondence system;
  • To support with local travel arrangements, including hotel and transport bookings for staff and their visitors;
  • Provide guidance on and carry out local travel arrangements, hotel booking for staff and their visitors;
  • Facilitate the staff's official trips liaising with the Embassies, local authorities and other relevant organisations;
  • Maintain links with the MFA's Department for Diplomatic Services (local equivalent of Protocol Dept);
  • Prepare Note Verbales to the MFA on corporate issues as required in the absence of CSA, including on CBS staff's labour contract documentation, and ensure follow up on the issues concerned;
  • Administration, dispatch and receipt of Unaccompanied Airfreight Policy (UAF) and diplomatic unclassified bags, including monitoring, evaluating and reporting service levels;
  • Act as back-up to Executive Assistant of Her Majesty's Ambassador (HMA);
  • Act as back-up Receiver on PRISM/HERA.
  • Performing administrative support tasks for the drivers and transport fleet, such as monitoring & maintaining efficient and effective duty rotas, absence records, training records, performance appraisals & equipment service schedules etc, both in manual (paper) form and on PRISM. Managing Embassy Official Drivers daily journeys though the Microsoft Outlook Transport Booking.
  • Managing Transport programs during visits of official delegations to Post.
  • Maintain regular liaison with insurance companies in respect of official and UK based vehicle insurance policies.
  • Maintaining regular and close liaison with DDS in respect of Embassy and UKB vehicles. Leading in registrations and de-registrations of Embassy official vehicles and UKB private transport procedures.
  • Leading in issuing UKB local driving IDs and updating vehicle certificates.
  • Support to UKBS and family members with registration at the local authorities, including IMEI, temporary registration of guests, handling orders
  • Monitor the staff attendance records through the new Access Control System and generate reports for management on a regular basis

Resources managed (staff and expenditure):

Line management of one S3L grade staff 

  • University degree;
  • Experience in office administration;
  • Proficiency in English, Russian and Uzbek languages, both oral and written;
  • Excellent oral and written communication skills;
  • Excellent interpersonal skills to build and maintain relationships with a range of stakeholders;
  • Strong organizational, analytical and time management skills, with high attention to detail;
  • A self-starter that can work well both individually and in a team;
  • Flexible and reliable attitude and a customer-focused approach;
  • IT-literate, specifically in Microsoft Office.
