View Vacancy - Estates Support Assistant and Lead Driver S1 (01/22 NR)
Main purpose of job:
Estates support Assistant and lead driver will be responsible for the management of the Estates fleet vehicles, deputising the furnishings supervisor, spot-checks and supervision of contractors on site, conducting the monthly utility meter reading and generator fuelling, delivery and collection of inventory to and from various BHC properties, property spot-checks during house preparation and filling of various documentations.
Roles and responsibilities:
60% Driving Responsibilities
- Delivering of furniture and white goods by means of canter/minibus to new property in preparation for occupancy alongside collection of faulty inventories from the Various BHC properties, ensuring no damage is caused while in transit.
- Scheduling, collecting and accompanying Kenya Power and Nairobi water meter readers, to all BHC properties every month during for meter reading exercise.
- Scheduling and supervising the monthly delivery of Generator Fuel to all BHC properties.
- Running estates external property and other field errands on behalf of the team by available means of transport.
- Responsible for ensuring the Estates fleet vehicles are clean and serviced on time.
- Responsible for ensuring the fleet vehicles are offloaded after the day’s assignments and parked at the allocated slot.
- Responsible for ensuring the Estates fleet vehicles are left fuelled over the weekend and before any day`s assignment.
- Preparation, delivery and collection of domestic float for both office and residences
- Responsible for loading of inventory into the canter in preparation for delivery, ensuring the gate passes are duly signed by relevant authorities before delivery.
- Carry out daily maintenance checks on Estates fleet vehicles. Ensuring they are roadworthy before starting any journey including tyres, petrol, oil and lubricants.
- Responsible for booking an alternative vehicle from the transport department if need arises for the furnishings team.
25% Furnishings duties
- Deep cleaning and furnishing properties as per FCDO guidance taking care of all H&S guidance.
- Routine maintenance of the furnishings stores and surrounding areas ensuring they’re orderly, clean and free from hazards.
- Working as part of a team in property preparations for occupancy.
- Reporting to the furnishings supervisor, any issues or items damaged missing from properties.
- Update Pyramid and Kenquiry (internal request systems) in the absence of the Furnishings Team Leader.
- Attend to Kenquiry requests assigned within the set SLA.
- Assisting other teams in the Mission with any heavy lifting and moves on an as need basis.
- Proper filling of all gate passes, utility meter reading templates, generator fuel delivery notes, inventory delivery and collection notes.
- Updating the fuel delivery tracker.
- Maintain an up-to-date dispenser and water bottles database.
- Scheduling of utility meter reading and fuel delivery dates with the relevant providers.
15% Supervision
- Supervise contracted suppliers during ongoing works such as waste collection, water deliveries, generator fuelling, utility meter readings, and tree/garden works on behalf of the estates team.
- Spot-checks of the grounds maintenance/hedge trimming at the various properties, waste collection and various guardhouses cleaning.
- Deputising the Furnishings Team Leader on a rotational basis with other Furnishing Assistants during periods of absence.
- Supervision of property cleaning in preparation for occupancy.
· KCSE Certificate.
· 3 years’ experience as a Class E Driver, driving of a Canter Truck or equivalent
· Driving Licence for B-C-E class with clean driving record(Mandatory)
· Good team player skills.
· Attention to details and proactivity
· Good customer services skills.
· Proficient written and spoken English.
· Heavy lifting capability (up to 45Kg).
· Manual handling skills

Working patterns:
Hours of work are 44 hours per week
Monday – Thursday 0700-1630
Friday 0700-1530

Members of staff are entitled to paid annual leave, which is earned, from the day they commence employment. Entitlements are as follows:
Grade S1 - 25 days
In addition to annual leave, the BHC normally observes no fewer than 9 and no more than 14 Kenyan and British public and religious holidays in a year. These vary from year to year and are at the discretion of the High Commissioner. A list of holidays is published each year.
