The Home Office in Warsaw is looking to recruit a International Liaison Assistant to provide administrative and organisational support to the International Liaison Manager (ILM) and International Liaison Officer (ILO) as necessary, as well as to contribute to the wider objectives of the British Government’s Polish network and to support the Embassy’s positive working environment by becoming part of the British Government’s presence in Poland.

Roles and responsibilities:

  • Manage the team email inbox including responding to, actioning and referring on emails as appropriate.

  • Maintain risk databases, including substantial data entry and related background research and development.

  • Prepare statistics, reports and carry out translations.

  • Liaise with internal and external stakeholders including Embassy colleagues, airlines and local Law Enforcement across the region;

  • Organise regional travel, training sessions and internal/external meetings in consultation with the ILO/M.

  • Fluency at C2 level in Polish and C1 in English according to the CEFR Framework*;

  • IT literacy, a good knowledge of Microsoft Word, Excel, Outlook, Teams and Power Point is essential;

  • Flexibility. Occasionally the position may require the job holder to work extended hours or work flexibly, sometimes at short notice; this may include some travel.

  • The ability to work effectively within a small team.

  • The ability to work effectively as part of the wider embassy structure, in accordance with embassy values, contributing to wider corporate life.

  • Experience of working in an international/multilateral environment;

  • Previous administrative experience;

  • Basic knowledge of UK and Polish government/civil service structures;

  • Previous experience or knowledge of the travel industry, aviation and/or security sectors.

This is a full-time fixed-term position of 5 days (37,5 net per week) for 24 months with the possibility of extension. 

The gross salary for this position is PLN 7,350 gross per month. Working hours are flexible and staff are entitled to time-off-in-lieu for agreed extra hours worked. The annual leave entitlement is 20 or 26 days per year pro rata and the Embassy also enjoys a maximum of 14 Polish / UK public holidays per year. 

Please note that staff members are responsible for paying any income tax required by the local law. 

The successful candidate will be subject to the Polish references check and satisfactory completion of a probationary period of three months. 

Candidates must have pre-existing right to live and work in Poland for the duration of the job offer in order to apply. The British Embassy does not sponsor work permits. 

Staff recruited locally by the British Embassy in Warsaw are subject to Terms and Conditions of Service according to Polish employment law. 

Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Poland and be prepared to ensure that right remains throughout the scope of the contract. Working patterns: The British Embassy Warsaw has a strong commitment to work/life balance. Office hours are 8:30 – 16:30, staff are encouraged to leave on time. Flexi-hours are also possible within the Embassy building’s opening hours (0800-1800). We have mobile technology and offer hybrid working with remote working days to be agreed with line managers. Due to the nature of the job, expectation is that the new hire spends most of their time at the office. Often can be required to work over weekends with short periods away from the office, where overnight stays are needed.
