View Vacancy - Temporary Estates Support Officer
Main purpose of job:
To assist the Estates Manager and CST in Lima, increasing H&S at post by focusing on updating documentation for our PCA requirements. There will also be a small requirement to provide admin support other members of the CST.
Receive general repairs and maintenance requests across the estate, identify and assess required works with suppliers, and complete necessary administration to record completed tasks.
The jobholder will closely work with the Estates Manager to ensure effective delivery of this role.
Roles and responsibilities / what will the jobholder be expected to achieve?
Estates Administration 60%
· Monitor estates budgets.
· Work with the Estates Manager to ensure that all planned and reactive maintenance for office and residential property is completed on time in a compliant manner.
· Identify preventative and reactive works required, informing the Estates Officer on a timely basis.
· Focus on customer service, ensuring that the Estates team is providing a professional service in line with the post corporate services charter.
· Assistance with the coordination of visits with officials and contractors making sure to be efficient with the timing.
Governance 10%
· Keep records on expenses and projects in the correct folders
· Ensure compliant record keeping.
· Ensure Estates procurement is effectively carried out and compliant with global policy, working with the Procurement Hub and Estates Manager.
· With Estates Manager, oversee all Estates suppliers to ensure service level agreements are met.
Technical 10%
· Support Estates Manager with Estates projects, preventative and reactive maintenance using the forward maintenance register.
· Provide local technical opinion, escalating to technical works officers where required.
· Help maintain high (preferably 100%) PCA scores.
Housing 10%
· Oversee the sourcing of properties following FCDO guidelines, and maintain files updated.
Health & Safety 10%
· Oversee the post maintains a safe, compliant (to UK and local standards) working environment for all staff and UK based families.
· Support health and safety activity at post, monitoring standards and filing incident reports.
Team Support 5%
· Support other members of the corporate services team as required, in basic admin support functions.
Essential on arrival:
Customer service skills
Experience in working with contractors
Resilient; able to deal with pressure and work flexibly to deal with competing demands
Must have the legal right to work in Peru
Language requirements:
Fluent Spanish and Intermediate English at least, a necessity.
Desirable:
At least 1 year’s experience in Estates management or Facilities Management
Electrical knowledge.
