View Vacancy - Procurement and Compliance Officer (GRC23.164)
The British Embassy in Athens is part of a world-wide network, representing a wide range of British interests overseas from political, through Economic, consular and Law Enforcement. The Embassy is now looking for a Procurement and Compliance Officer.
The Procurement and Compliance Officer is responsible for evaluating suppliers, products, and services, negotiating contracts, and ensuring that approved purchases are cost-efficient and of high quality. The incumbent, reporting to Customer Care & Compliance Manager, will also act as Post nominated Health & safety contact, responsible for the overseeing the implementation of the respective policy, maintaining the safety information of the Post and promoting safety compliance.
Roles and responsibilities:
- Ensure all purchases of goods and services in Post follow the appropriate Procurement Policy guidelines
- Closely coordinate with Procurement hub for the implementation of corporate spend guidance
- Prepare and upload purchase requests, monitor contract expenditures and take correrctive action if needed, in collaboration with relevant departments
- Act as a liaison between BE Athens and vendors, ensuring efficiency, quality and timely delivery of goods/ services to the Post
- Monitor the commercial lifecycle of BE Athens tenders, including preparation and planning, publication, selection and award and contract implementation, in coordination with the Procuremet Hub and other relevant stakeholders
- Ensure the completion of Conflict of Interest declaration form, as a minimum, at planning and bid preparation stage and after all bidders and sub-contractors are known
- Responsible for setting up suppliers in FCDO internal system (HERA)
- Maintain an accurate and up-to date contractor list and purchase list
- Ensure products and services are delivered timely and up to specifications agreed
Health and Safety responsibilities:
- Ensure risk assessments are completed in line with FCDO Health & safety guidelines
- Collaborate closely with Health and Safety Team providing health and safety reporting and conducting relevant investigations into accidents or near misses
- Inspect premises and the work of personnel to identify issues or non-conformity
- Ensure Posts physical assets are maintained in safe condition, as far as reasonably practicable, and that suitable and safe work equipment is available
- Actively participate and feed information to the Health & Safety Committee
- Good financial understanding
- Positive, proactive attitude and ability to work in a team
- Good communication and interpersonal skills
- Excellent command of spoken and written English and Greek
- University graduate, preferably in supply chain, logistics, finance or relevant field
- Excellent knowledge of MS Office suit
- Previous experience in managing procurement projects will be considered an asset
- Knowledge of local health & safety workplace regulations or/and safety management
This is a full-time permanent contract, where you will be expected to work a maximum of 37.5 hours per week.
The British Embassy offers a competitive remuneration package, 24 days annual leave entitlement (given pro-rata to staff on fixed-term contracts and/or staff working part-time), a training package and flexible working opportunities. Monthly salary for this position is EUR €1865.51 (Gross) currently payable 14 times a year (as per Greek labour law). An individual personal development plan will be agreed with the successful candidate.
Staff recruited locally by the British Embassy is subject to terms and conditions service according to Greek employment law. The British Embassy does not sponsor work permits.
Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Greece and be prepared to ensure that right remains throughout the scope of the contract.
