CSSF (Conflict, Stability and Security Fund)

Main purpose of job:

Working to support the Somalia Conflict, Security and Stability Fund programme, the job holder will manage project-related resources and information, and support project implementation, management and delivery.  The job holder will also provide administrative support to the CSSF Somalia team.

Roles and responsibilities

  • Act as initial point of contact for project/programme related enquiries (Stabilisation, Counter-Extremism and Human Rights programmes);
  • Manage and coordinate logistics for project/programme related training activity, team meetings, events, visits and workshops including organising flight, transport and hotel bookings;
  • Manage and monitor project expenditure and maintain financial and progress reports. Review and process claims and invoices, manage the reconciliation of expenses with the forecasts, review implementing partners’ activity based budgets and provide data from FCO accounting system and implementing partners for the monthly financial reporting requirements;
  • Provide end to end support for procurement activity including fulfilling responsibilities such as requisitioning, receiving, and troubleshooting invoices on hold, processing payment of supplier invoices and providing data for financial reporting requirements;
  • Coordinate extensively with service units and liaise frequently with staff members across other sections within BHC Nairobi, British Embassy Mogadishu, the region and London;
  • Provide administrative support to the programme teams during compliance and programme reporting by preparing data/material needed for routine reporting to seniors and other stakeholders.
  • Occasional travel to Mogadishu to support programme delivery with HMG partners as well as external stakeholders
  • Minimum of 3 years in Office Administration
  • BA in International Relations, Program Management, Finance, Business Administration or any other relevant degree
  • Experience managing budgets
  • Experience providing logistics  and procurement support to senior management teams
  • Strong administrative skills 
  • IT Skills (a working knowledge of Microsoft Excel and Word is essential),
  • Oral and written communication and customer service skills.  
  • Highly organised, able to take initiative and to work accurately within deadlines.
  • Able to obtain security clearance to Official-Sensitive
  • Good team player and previous experience in project management
  • Basic financial management skills
  • Able to work under minimal supervision

Leave:

Members of staff are entitled to paid annual leave, which is earned, from the day they commence employment. Entitlements are as follows:

  • Grade A2 - 25 days and then 30 days after 5 years’ service

In addition to annual leave, the BHC normally observes no fewer than 9 and no more than 14 Kenyan and British public and religious holidays in a year. These vary from year to year and are at the discretion of the High Commissioner. A list of holidays is published each year.

Working Patterns:

Subject to the Flexible Working Scheme (see below) normal office hours are:
• Monday to Thursday: 0730 - 1600
• Friday: 0730 - 1300.

Flexible working requests will be looked upon favourably where possible.
