The UK Representation to the EU (UKREP) in Brussels is now seeking to recruit a Visits Officer.

This is an excellent opportunity to play a vital role in an exciting, busy and cross cutting team in the heart of UK’s Permanent Representation to the EU. With the team, you will handle all ministerial and senior official visits to Brussels and Luxembourg on all EU business, including the negotiations for the UK’s exit from the EU and its future relationship. You will be a key part of high profile events, like the Prime Minister’s attendance at European Council meetings, and the regular engagement of Ministers with their EU counterparts.

The day-to-day job will cover all aspects of organising visits and events; advising UK teams both here and in London; supporting ministers; and working well with internal and external stakeholders to provide logistical support essential to successful visits.

The job would suit a highly organised, multilingual self-starter who is good with people, delivering at pace and problem solving. The nature of the job means you need to be flexible, and able to adjust to changing plans. At times it will involve travel out of Brussels and hours outside of the core contracted hours, including weekends.

The successful candidate will receive training to support their role. You will gain a wide range of experience in handling complex visits, managing protocol, and delivering high quality events. You will be part of a dedicated, fun and experienced team.

Main duties and responsibilities:

  • In collaboration with the other visits officers, the successful candidate will organise and co-ordinate all logistical and administrative arrangements for visits to Belgium and Luxembourg on EU business. This includes by UK and devolved ministers as well as senior high level officials on the wide range of policy issues, as well as the negotiations on the UK’s exit from the EU and its future relationship;

  • He/ she will lead on practical arrangements by working with Whitehall departments and devolved offices to understand requirements, identify options and deliver solutions. Will use strong relationships with external stakeholders to ensure smooth running of visits, including by liaising with Ministers’ Private Offices (Cabinets), Ministry of Foreign Affairs, airports, railway stations, hotels, European Union institutions, embassies, Belgian ministries and Belgian/UK police authorities;

  • Deliver well-planned detailed programmes for visits and events outlining key logistical information;

  • Work closely with the UK diplomatic missions in Brussels (including the Transport Team in Corporate Services) and Whitehall department to ensure payments for all visits related matters processed efficiently;

  • Contribute to an efficient and high quality visits service by working with local suppliers to ensure best value for money and working with the rest of the UKREP visits team to further develop their service.

 

  • Fluent level written and spoken English;

  • Excellent organisational skills, with proven ability to plan and prioritise tasks;

  • Previous experience of working in a team;

  • A customer-focused approach;

  • Ability to anticipate and solve problems and pay close attention to detail;

  • Good IT skills with sound working knowledge of Microsoft Office (including Excel);

  • Driving Licence.

  • Understanding of the European Union and of the UK Government;

  • Project management experience;

  • Other languages.

We are offering a full-time contract for 5 working days (36.25 hours net) per week.

This position will be filled on a "replacement contract" to cover a leave of absence. It is anticipated that the staff member will return in the middle of 2018. This is only a guide and any extension to this date would be discussed with the successful candidate.

The monthly gross salary for this position is € 3,024.50 A2 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
