The British Embassy in The Netherlands, part of a world-wide network of 230 Diplomatic Posts, representing British Political, Economic and Consular interests overseas is now looking for an A2 Corporate Services Assistant to support the Corporate Services Manager and advise and support Local and UK based staff working in the UK Mission in The Hague.

The role of the CS Assistant is diverse and wide- ranging and offers an excellent opportunity to advise and support both UK based and Local staff in the areas of Human Resources, Estates Management, Finance and Protocol. The successful candidate will have excellent communication and organisational skills and be able to multitask and deal calmly with conflicting demands on his/her time.

Main Duties / Responsibilities:

Human Resources:

  • Assist the Corporate Services Manager (CSM ) in supporting the Mission in accordance with Dutch labour law and FCO guidelines;
  • Ensure databases and records relating to staff are kept up to date;
  • Assist with recruitment administration and general HR administration in co-ordination with the HR Hub;
  • Manage all leave administration including sick leave, maternity and paternity leave and special leave;
  • Support the CSM by keeping spreadsheets up to date detailing spend on salaries and pensions for all teams including Partners across government;
  • Keep all staff records up to date (contract database, CS Element, emergency contact list etc);
  • Register Local staff with Ministry of Foreign Affairs;
  • Order business cards for Locally Engaged (LE) and UK based(UKB) staff;
  • Activity Recording champion;
  • Act as backup for the formal induction of LE Staff.

UKB Staff support

  • Handle the formal induction of UKB Staff;
  • Liaise with the Ministry of Foreign Affairs (MFA) and Customs in all matters relating to the accreditation of UKB staff;
  • Register UKB staff with MFA;
  • Support UKB officers dealing with the local administration, including tax status, schooling, registration, and bank administration.

Estates / Facilities Management

  • Support the CSM in overseeing the Foreign Commonwealth Office Estates policy at post and ensuring effective and adherent policies and processes under the Facilities Management contract;
  • Ensure the Property compliance database is kept up to date;
  • Ensure the property Forward Maintenance Record overview is kept up to date.

Purchase to pay (P2P)

  • Assist the  Accounts Assistant with the full P2P cycle reviewing and resolving P2P queries, supporting staff with supplier form set up issues and acting as back up during  the  Accounts Assistant’s absences;
  • Deal with Requisitioning and Receiving.
  • Fluent English.
  • Experience working in an administrative and support role.
  • Experience working with Microsoft office package.
  • Experience in an international organisation.

  • Good spoken and written Dutch.
  • Experience in Human Resources.
  • Customer Service experience.

The successful candidate will initially be offered a 12 months contract at A2 level. The base salary for this position is € €2,876.87 gross per month, based on a working week of 36 hours. In addition, an 8% annual holiday bonus and a monthly travel allowance are payable. The Embassy currently applies a performance based bonus pay model for local staff.

Employment contract and start date are subject to the Security Clearance process and so the start date may vary if needed.

Applicants must currently hold the independent right to live and work in The Netherlands and be prepared to ensure that right remains throughout the scope of the contract. Please note that The Embassy is not a tax withholding employer. Consequently staff members are responsible for paying their own income tax and social security on the gross salary received.

The successful candidate will undergo a professional background check. Any job offer is also provisional to a successful security clearance check.
