The British Embassy in Stockholm is part of a worldwide network, representing British political, economic and consular interests overseas and is now looking to recruit a Corporate Services and Estates Assistant.

This is a new position created to provide additional support to the Estates Manager, delivering work following FCO guidance.


Main Duties and Responsibilities

Accommodation

  • Day to day responsibility for Embassy accommodation, furniture and furnishings (residential and non-residential), in line with the FCO Policies;
  • Responsible for furniture/domestic supplies and inventories, preparing and implementing rolling furniture programme;

  • Budgets; Responsible for tracking and monitoring Residential Furniture and Rental and cleaning account lines;

  • In co-ordination with Community Liaison Officer (CLO), helping new arrivals to settle into properties, carrying out March In and March Out procedures for arriving and departing UK officers;

  • Maintain basic property data on Estates Database;

  • Management of Transit Flats;

  • Management of rental accommodation contracts; includes property searches with real-estate agents, inspection of properties and preparation of leases.

Maintenance

  • Overseeing the maintenance of the residential properties; prioritizing jobs and ensuring they are completed satisfactorily by either the local maintenance team, landlord or by contractors;
  • Administration of Work Requests for accommodation.

General

  • Line management of housekeeping team;
  • Procurement; requisitioner/receiver; GPC card holder;

  • Accurate record keeping of Estate/Accommodation files;

  • Cover for Maintenance Officer only related to accommodation;

  • Cover for Community Liaison Officer;

  • Provision of Health & Safety Induction for Staff.

     


  • Good organisational skills and ability to prioritise various tasks and conflicting deadlines;

  • Experience in contract management;

  • Previous line management experience;

  • Customer centred focus including ability to manage expectations effectively;

  • Fluency in English and Swedish both spoken and written;

  • Driving licence.

  • Knowledge of Health and Safety Regulations in Sweden and/or UK;

  • Budget management experience;
  • Previous experience with building management or maintenance services.

This is a fixed-term contract for 12 months, with possibility of contract extension for another 12 months.
