Main purpose of job

Executive Assistant to the Consul-General, running the CG's office, working directly to the CG to manage his work flow and events programme, acting as a strategic coordinator for his work across the different sections of the Consulate, in particular the Department for International Trade, and with external stakeholders such as the British Council, China-Britain Business Council and British Chamber of Commerce. Handling daily CG business and developing/driving forward a strategy for engaging key contacts across the Consular District.


Oversight/event management of CG official entertaining:
1) Manage events hosted at the Official Residence: Coordinate with the event organisers (internal or external) for their reception; manage all suppliers and oversee arrangements in the Residence (drinks and tableware, etc) with staff there.
2) Work with other teams for external events such as Queen’s Birthday Party.

Running CG budget for travel and entertainment. Coordination of CG provincial visits, handling routine communications for CG, including preparing replies for CG; and working with the Executive Assistant to the Deputy Consul-General when the DCG is standing in for CG.



Roles and responsibilities

Managing the CG’s Executive Office

  • Forward planning of CG commitments, including attendance at key functions.
  • Arranging meetings – internal and external.
  • Medium and long term profiling of likely visits and business commitments.

 

Event and Budget Management

  • Oversight/event management of CG official entertaining: coordinating CG entertainment strategy, liaising with Residence staff.
  • Budget profiling for CG travel and entertainment: running CG budget in conjunction with Corporate Service Team

 

Visit Coordination

  • Planning and coordination of CG provincial visits.
  • Coordination and collation of briefing material.
  • Establishing and maintaining links with FAOs.

 

Managing CG Communications

  • Handling routine communications for CG, including preparing replies for CG.
  • Liaison with BCG internal teams, and British Council, on planning issues across Consulate.
  • Driving forward follow-up action from meetings.

 

 

Essential on arrival

  • Bachelor Degree or equivalent;
  • Basic IT literacy, familiarity with Word, PowerPoint, Excel software.

  • Good communication and interpersonal skills;
  • Self–motivated and able to anticipate and resolve problems under your own initiative;
  • Flexible on different role in the Consulate.
