The British Embassy in Rome is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Events Manager to support the Italy Network in the successful delivery of high-quality events, working within the Ambassador’s Private Office and Residence and collaborating with the range of teams in the Rome Embassy and Milan Consulate, in particular the Press and Public Affairs Team and the Bilateral Team.

 

You will be the lynchpin in the whole life cycle of successful event planning, from strategizing and conception to planning, delivery and post-event evaluation.  You will cultivate excellent working relationships with both internal contacts from within the UK Italy Network and with external partners.  You will also use your interpersonal skills to liaise with a range of external partners to deliver income generation events on behalf of the Italy Network, typically held in the Ambassador’s residence.

 

Main Duties and Responsibilities:

Events

  • Undertaking the range of activity needed for successful event planning and delivery.  You will have a role in generating ideas, concepts and strategies for events across the Italy Network that help enrich ties with our Italian partners across the spectrum of our bilateral relationship. You will work seamlessly with Italy Network colleagues, including senior colleagues and the Ambassador, to ensure that events meet our policy objectives and priorities, are in line with the Ambassador’s vision, and deliver value for money for the UK taxpayer. This will include a mixture of strategic oversight and more nitty-gritty day-to-day detailed event planning/preparation, sponsorship, budgeting and programme management to ensure events run without a hitch.  

 

Income Generation

  • The securing and delivery of income generation events on behalf of Italy Network typically held at the Ambassador’s Residence.  Building and maintaining contacts with partners, particularly in the business and commercial sector (working closely with the Department for International Trade), to be aware of and exploit potential opportunities for income generation events.  Liaison with those customers and partners who may be interested in income generation events, coordinating agreement of contracts and budget management in conjunction with the Finance Team. 

 

Wider Team Support

  • Where appropriate, there will also be opportunities to work to support other colleagues in the wider team and network. 

Corporate Objective

  • Actively engage in corporate activities and initiatives in the Italy Network.
  • Proficiency in English and Italian (written and spoken, minimum of C1 level for CEFR framework* or equivalent);
  • At least one year’s experience of working in events management, preferably high-profile events; 
  • Working collaboratively with strong ability to deal with a variety of internal and external stakeholders, often at senior level;
  • Proven record of project management skills and experience, with a good eye for detail along with an ability to see the bigger picture and strategic awareness;
  • Good IT skills and proficiency in setting up audio/visual equipment;
  • Some experience of financial management. 
  • Some commercial experience/ working with businesses may be useful.

This is a full-time permanent contract position, graded Executive Officer (EO) according to the FCDO grading structure. The annual gross salary is € 41,000 with an additional payment of € 10.33 EDR paid 13 times per year (pro-rata). There are 14 salary payments in a calendar year, with double salary payments in June and December. If working less than a full calendar year, the additional salary payments will be pro-rata.

 

Working hours are 35 hrs per week Monday to Friday 09.00 – 17.00.

 

The appointment is subject to security clearance, professional background check and the successful completion of a 5 months probationary period.

 

All staff employed by the British Embassy Rome are subject to Italian income tax rate deductions (IRPEF).  However the administration of these tax payments will vary depending on nationality.

 

The successful candidate will be enrolled in the Italian State Social Security Scheme. Staff recruited locally by the British Embassy in Rome are subject to terms and conditions of service according to local Italian employment law.

 

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Italy and be prepared to ensure that right remains throughout the scope of the contract.
