Main purpose of job:

To provide administrative support to the political section, working closely with the Political Assistant. This is a busy section that requires additional administrative capacity in order to deliver against our objectives. Excellent IT skills are required.  This is an excellent opportunity for someone keen to develop office-based skills and English language skills, and who enjoys a dynamic and diverse working environment.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Set up routine calls and visits for team members. Support the team in delivering visits from UK ministers and officials and political section events.
  • Support the Political Assistant on budget administration, and lead on language training administration.
  • Maintain the political section’s contacts database.
  • Control the team’s stationery stocks  
  • Actively support Embassy corporate work. Take responsibility for a specific role as part of the Embassy’s crisis response team.
  • Strong IT skills (Microsoft Office)
  • One or more years of relevant working experience
  • Fluency in Japanese
  • Experience of working in an English speaking environment
  • Experience of budget management

Learning and development opportunities (and any specific training courses to be completed):

Alongside a number of Embassy-specific courses that will need to be completed on arrival, the Embassy is supportive of learning and development. We offer five development days per year, and regular opportunities for learning and development delivered both within the mission and regionally in Asia. We also focus on using coaching and a buddying system to support new arrivals.

Working patterns:

 The job is a part-time role. We would envisage the job holder working three days a week. But we are open to other working patterns, to be agreed with the hiring manager ahead of appointment

Occasional out of hours working required for events in the evenings.
