Main purpose of job:

The British Consulate General, New York is looking for a full time, execution-focussed Deputy Chief of Staff for the Executive Office of the Consul General. This is a full time position covering our hours of operation, Monday to Friday 9:00-5:30pm with assistance during evening and weekend events as required. Responsibilities include but are not limited to those outlined below. The successful candidate should be prepared to work flexibly across a range of areas and to cover for absent colleagues as required.

This is a fascinating and busy role allowing someone interested in international affairs and business development to work in an exciting diplomatic mission.

Roles and responsibilities:

The Deputy Chief of Staff role is critical to ensuring the operational efficiency and effectiveness of the Executive office of the Consul General. The selected candidate will:

Provide operational support to the CG, Deputy CG and the Executive Office:

  • Manage CG travel programs: Coordinate travel arrangements including booking flights, hotels and cars; working with other teams to develop programmes for travel, including rosters of meetings, introductions and itineraries;
  • Manage CG expenses, file expense reports, liaise with corporate services and finance department as necessary; assist with budget profiling;
  • Provide agendas for meetings, take thorough notes and provide minutes;
  • Regularly monitor the CG’s and the Executive Office’s inbox and action items as necessary;
  • Provides functional support to the Senior Policy Advisory and Strategic Communications Advisor in strategic planning activities, policy development, and problem resolution (regional plans, forward look documents, etc.); 
  • Anticipate, identify and troubleshoot issues of concern or significance; exercise discretion to provide timely information and necessary updates across multiple stakeholders;
  • Deputize for the Chief of Staff in their absence.

Assists in research and drafting of briefing materials for the CG and Deputy CG:

  • Prepare reports by collecting and analysing information;
  • Set briefing standards for teams to follow, look ahead to anticipate what the CG and DCG will need to successfully engage in stakeholder activity;
  • Provide historical reference by developing and utilizing filing and retrieval systems.

Represent the Executive Office with support on wider Consulate and network activity:

  • Assist Press and Public Affairs and DIT Digital teams in promoting economic diplomacy agenda;
  • Manage workload to assist with public diplomacy projects and major events. 
  • Degree/qualification
  • Preferred at least 2-4 years of administrative experience
  • Self-starter with strong interpersonal, organizational and critical thinking skills
  • Adaptability to meet changing demands and a keen eye for detail
  • Ability to identify, analyse and address a wide variety of issues and problems in a fast-paced environment
  • Ability to prioritize multiple projects
  • Knowledge of the goals, objectives, structure of the organization
  • Ability to gather data, compile information, and prepare reports
  • Excellent research, writing, and oral communication
  • Ability to create, compose, and edit correspondence and other written materials
  • Strong interpersonal skills and the ability to effectively work with a wide range of individuals and constituencies in a diverse community
  • Strong IT skills, including recent use of the full range of MS Office suite including Outlook, Excel, PowerPoint and Word; experience with Microsoft Teams a plus, but not required

Currently work is mostly remote; come September, jobholder will be expected to go into the office 2-3 days per week.
