Main purpose of job:

The Corporate Services (CS) Team is responsible for the day to day running of the administration of the British Embassy in Santo Domingo and, remotely, the British Embassy in Port au Prince.

We are looking for a dynamic professional to join our team, who will bring enthusiasm to the role and be an excellent team player.   The Corporate Services Officer (CSO-Estates) is a key member of the CS team, and reports directly to the Corporate Services Manager (CSM) delivering on a wide range of issues including:  

·       Manage the operational delivery of the Embassy platforms to ensure a safe work environment for all staff

·       Supervise project works and maintenance for all embassy managed building and properties  

·       Work with the CSM and the Post Security Officer on the implementation of all embassy  corporate estate and security policies and procedures

·       Procurement lead

·       Other corporate services tasks as required

Roles and responsibilities / what will the jobholder be expected to achieve?

 

Estates (50%)

·       Responsible for running the Embassy’s estate, including both the office building and residential properties and ensuring the maintenance is to a high standard as well as managing inventories and warehouse stock

·       Ensure information and data for the estates are maintained and verified on a regular basis.

·       Manage the day-to-day relationship with estates security and guarding companies, ensuring a high quality of service including delivery of contractual key performance indicators

·       Manage the vehicle fleet, including maintenance and replacement when required

 

Health and Safety (25%)

·       Manage all health & safety related issues, ensuring full compliance with UK and local legislation

·       Ensure appropriate COVID social distancing and safety measures are implemented across the Embassy estates

·       Responsibility for all audit requests for the Embassy estates

 

Procurement and Budgets (20%)

 

·       Lead on procurement (maintenance services, general office supplies, residential equipment) including obtaining quotes from suppliers and ensuring high quality of work and delivering good value for money and high standards

·       Work with the CSM on preparation and monitoring of budgets for estates expenditure.

·       Responsible for maintaining and updating a database of suppliers.


Other Tasks (5%)

·       Assist other members of the Corporate Services team as required by the CSM and Management Team

·       Responsibility for other tasks as required


Throughout all areas of their role, the jobholder will need to be able to work independently under the supervision of the CSM, making recommendations to the CSM and Deputy Head of Mission and problem solving across a complex portfolio of work.

Essential: Someone who can step into the position and quickly deliver results based on prior experience

 

·       A University or technical college degree in a relevant area, such as health and safety, engineering

·       At least 1-2 years’ experience in facilities management

·       Strong communication skills and a commitment to customer service

·       Evidence of strong organisational and time management skills, with excellent attention to detail

·       The dedication and flexibility to support the Corporate Services Team deliver a wide range of work to a high standard.

·       Ability to manage several urgent tasks at the same time, prioritising and meeting deadlines

·       Resilient; able to deal with pressure and work flexibility to deal with competing demands

Desirable:

·       UK and local Health and safety knowledge

·       Familiar with procurement processes
