The British Embassy in Amman has a vacancy for Visits Officer, Grade B3 (L).

 

Purpose of the job:

The successful candidate will primarily responsible for designing and delivering all logistics around visits to Jordan. Working from the Embassy in Amman, the jobholder will support delivery of visits of British ministers, senior officials, members of the Royal family, and other VIPs to Jordan.

Main Responsibilities:

Working closely with the Ambassador, Deputy Head of Mission (DHM), Political Section, Corporate Services (CS) Section, and colleagues across the Embassy, as well as Government Departments in the UK, the jobholder will need to engage confidently and effectively with people at all levels, including key contacts within the Jordanian Government. Excellent problem solving and judgement skills, a keen eye for detail and the ability to deliver results quickly, including under pressure, are essential, as the jobholder will frequently need to respond to unforeseen obstacles, including last minute changes to visit programmes.

This role also offers the opportunity to be involved in some areas of Political Section policy work, in support of the team. The jobholder will support delivery against a number of policy objectives, responding to tasking and providing updates to London.

1. Visits management (70%): Logistics lead for VIP visits and coordination of ministerial programmes, specifically:

  • Developing individual visit programmes, including providing advice on locations, meetings, project visits, and media opportunities.
  • Management of logistics and protocol arrangements around visits including the creation of transport schedules and arranging accommodation;
  • Monitoring and managing the budget for visits ensuring arrangements stay in line with expenditure guidelines;
  • Liaison with the Jordanian Ministry of Foreign Affairs and other government departments to secure host invitation letters, set up meetings and agree protocol and security arrangements;
  • Communicate visit programmes, including keeping HMA/DHM Outer office informed of visit arrangements;
  • Liaison with other Embassy teams regarding visits arrangements, particularly Security, Protocol and Transport teams;
  • Monitor and improve Embassy visit policy, liaising with and agreeing our assistance with London Protocol Department.

2. Policy (15%): Supporting the Political Section on a limited portfolio of issues and policy-related duties:

  • Collation of instructions from London, including lobbying requests, communications campaigns, event invitations.
  • Maintaining a contacts database.

3. Information management (10%) - Responsibility for overall Embassy Information Management handling and best practice as Information Management Officer.

4. Finance (5%) – Lead on all external payments for political team and ensure the team’s compliance with our Purchase to Pay (P2P) process.

Essential:

  • Experience of managing events/ visits.
  • High-level organisational and coordination skills, including the ability to prioritise, meet deadlines, proactively identify and resolve potential problems
  • IT (Excel, Word, Outlook and Powerpoint)
  • Strong interpersonal skills and proven ability to work both autonomously and in a team, and to work effectively with clients, including at senior levels
  • Fluent English and Arabic language skills.

  • Experience of working in an embassy environment

Working Hours and Remuneration:

The position is full-time, at 37 hours a week with considerations of flexibility depending on circumstances.

Pay is on the Embassy B3 (L) scale, with a salary of JOD 1577 per month. The package includes a good level of health insurance and a friendly, English-speaking work environment. We offer opportunities to develop professional skills through our Learning & Development offer. Leave entitlement is 25 days (pro rated) plus 14 public holidays.

This job will require some working outside of normal working hours. If this is going to be for a sustained period you will be entitled to an on-call allowance. In addition to which, the embassy has a TOIL procedure that can be agreed in advance with your line manager.
