Main purpose of job:


To provide an efficient and responsive administrative, organisational, and logistical service to the High Commission.


Roles and responsibilities:



Personal Assistant Support: 50%


  • Deal with telephone enquiries, correspondence and requests for information and provide general administrative support for the HC
  • Manage the diary of the HC and ensure that she is fully briefed on, or prepared for, all engagements and appointments
  • Arrange logistics and book travel, transport and accommodation Manage/update contacts database and the invitation process for all events
  • Coordinate social and official events and visits

Other Administrative Support: 50%


  • Prepare Note Verbals and liaise with MFA on legal assistance matters
  • Assist with the delivery of the Chevening Scholarship programme
  • Provide secretarial support for internal management meetings and other team management support as necessary

 

Essential on arrival:      


  • At least 2 years’ experience working as a Personal Assistant or in an office administration environment

  • Experience in diary and event management

  • Highly developed organisational skills

  • Excellent verbal and written communication skills in English

  • Advanced skills with Microsoft Office Suite

  • Ability to prioritise in a fast-paced work environment, observing deadlines and achieving high quality results

  • Ability to work effectively in a small team

Desirable:

  • Experience in note taking
  • Good working knowledge of Spanish
