The British Embassy in Rabat is seeking a Transport and Logistics Manager, grade B3 (L) to start as soon as possible.

Main Purpose of Job:

The jobholder will lead the Embassy’s logistics and transport management and provide high standards of customer service. The Logistics and Transport Manager will be in charge of directing logistics and transportation services within the Morocco Network as well as improving systems and policies. He/she will support HMG platform and will decide on the right systems to have in place to deliver safe, secure and cost-effective logistics and transportation services.

Main Duties and Responsibilities:

Logistics and Transport

  • Direct all transportation activities and effective use of Her Majesty’s Government (HMG) fleet vehicles and drivers. Decide on best routes for transport plans, assess risks, and allocate resources and their movements on a dedicated “transport board.
  • Build supportive and professional relationships with HMG. Provide strong direction to the team and communicating clearly about plans, objectives and challenges. Manage and build relationship with stakeholders, monitor performance and delivery to get the best value for money for their service.
  • Decide on the appropriate working methods to meet the varying and changing priorities of customers. Propose ways of improvements.
  • Plan large delegations and VIP visits: liaise with third party hotels and transporters. Set delivery standards and expectations. Proactively develop a structured approach to vehicle maintenance and purchase.
  • Assess Embassy plan of preventative maintenance and inspections of vehicles and decide on improvements. To advise on local law guidance and change of legislation: decide on the best way of merging local law and FCO guidance.
  • Support the team to deliver a service appropriate to changing needs of customers, in line with relevant guidance and decide on the appropriate way to achieve this. Review the Transport Policy depending on changing priorities and guidance.
  • Ensure that drivers hold the appropriate entitlement for the vehicle they are driving, they comply with transport regulations and that they work in a safe and effective manner at all times. Ensure drivers are properly trained and competent to operate all relevant vehicles and equipment
  • Where possible monitor the Embassy’s “carbon footprint” and think of ways in which this can be reduced.

Procurement and Finance

  • Forward thinking on procurement needs and submitting proposals to the Head of Corporate Services (HCS).
  • Monitor drivers’ overtime and give advice on overtime policy, be aware of its impact on spending, and submit claims to Finance Manager. Plan efficient use of resources to avoid overtime claims where possible.
  • Develop ideas and plans to handle over/under spend of budget.
  • Negotiate transportation and logistics prices with external suppliers.

Line Management responsibility

  • Line management of three (3) drivers – Grade S1.
  • Line management of one (1) Administrative Assistant – Grade A1.
  • Coordination with additional three (3) pool drivers – Grade S1.

Other

  • Back up to a B3 Security Manager: Cover for urgent duties when the Security Manager is on leave like security clearances and G4S guards’ management.
  • GPC holder.
  • Raise Requisitions and receipt on Prism.
  • To undertake any other duties related to Post responsibilities and which may be delegated   by the Head of Corporate Services.

  • Excellent communication skills in English, French and Arabic, both verbal and spoken. Able to express ideas and messages clearly and concisely, both orally and in written communication.
  • Minimum of two years’ experience in management including managing staff.
  • BA degree and/or degree in relevant field.
  • Driving licence category B.
  • Excellent communication and management skills.
  • Excellent computer skills with a good working knowledge of excel and word.
  • Ability to multitask and prioritize duties, strong attention to detail, and a good team player.
  • Experience in Logistics and Transport management.

Working Hours and Remuneration:

The Embassy aims to offer an attractive working environment and remuneration package for this role, including a gross salary of MAD 22,675 per month, inclusive of all allowances. The contract will be a for a full-time employment, on a permanent basis.

The Embassy has a strong commitment to learning and development and all staff are required to agree a learning and development plan with their line manager. There are mandatory training courses on arrival.

Conditioned working hours for the position are 38 hours per week Monday to Friday. The Embassy encourages flexible working subject to operational need and line manager’s approval.
