Perform administrative and secretarial duties as directed by the DA and DDA, to include arranging and scheduling appointments, monitoring emails, arranging visit programmes outside of Beijing, maintaining electronic diaries and co-ordinating DA and DDA activities.  Maintain DA and DDA contacts databases.  Collect and distribute section publications and mail.

Arrange travel (accommodation/ air/ rail/ car) for Defence Section (DS) officers (outward) and senior visitors/ groups (inward) as required.  Provide support for inward visits as required, to include visa letters, guidance on protocol and compiling visit programmes. 

Maintain regular contact with various branches of the Chinese military and within relevant UK departments to assist in delivery of bilateral the engagement programme. Draft official correspondence to the Chinese Ministry of Defence

Main point of contact for Chevening scholarship.   Running the Chevening programme for Defence Section, including arranging interviews.  Organising events for returning and departing scholars and fellows.

Provide drivers with a weekly programme, and keep them informed of all updates.

Working closely and coordinating with the Office Manager.

Understanding of Microsoft Office applications

Excellent communications and organisational skills

Appointment of the successful candidates will also be subject to Overseas Security Clearance. Due to the security clearance level required for this position, this vacancy is open only to the following:

  • Nationals from the UK who have spent at least two (2) years out of the last five (5) years in the UK;
  • Nationals from the UK who have Diplomatic status in China ('W' visa holder);
  • Other nationals from EU countries, the USA, Canada, New Zealand, or Australia providing they have Diplomatic status in China ('W' visa holder).

Necessary security clearance for this position can take at least two months and will require completion of a separate security interview which can take place either in the UK or in China (dates to be notified). Candidates must be available for this security interview to be considered for this role.
