Residence Coordinator

Main purpose of job:

To support the Estates Manager, ensuring the efficient and effective day-to-day management of the British Embassy’s office and residential accommodation by overseeing the resolution of works requests; administering an estates database and inventories for stocks; procuring goods and services; supervising a cleaning team; and supporting the Estates Manager in ad hoc duties.


Roles and responsibilities:

  • Administer the Embassy’s works request system, prioritising requests and then liaising with our contracted facilities management company and/or landlords to ensure routine maintenance work is carried out on a daily basis, in line with the Embassy’s contracts with our partners and the Corporate Services Charter. This will also require keeping staff informed and updated on works requests.
  • Supervise the Embassy’s contracted cleaners to ensure the office is kept clean in line with the contract, and to instruct the cleaners to carry out duties at accommodation units, as and when required.
  • Ensure accommodation is ready and fit for occupation by new staff.
  • Keep residential inventories up to date.
  • Maintain the Embassy’s property database (‘Pyramid’).
  • Administer the allocation and recovery of household items (a ‘float’) loaned to new staff on arrival.

Procurement:

  • Procure supplies from external suppliers and, if required, purchase on behalf of Corporate Services Team and reconcile spend of Government Procurement Card in accordance to required deadlines.
  • Maintain an accurate and detailed inventory list of Embassy stores
  • Raise all requisitions online through the Embassy’s IT system (‘PRISM’) for the purchases of goods and services, ensuring all costs are charged correctly. Receipt said goods and services, once completed.  
  • Maintain the Embassy’s stationery budget and stock, and maintain a small database of office machinery, arranging for regular maintenance and repairs as necessary.
  • Arrange and oversee weekly delivery of fuel for the Embassy and four accommodation plots, and maintain records of deliveries.

General:

  • Assist the Estates Manager with other Ad-hoc task and provide cover for when the Estates Manager is on leave.

  • Should have at least 2 years Estates experience.
  • Budget and Stock management experience.
  • Computer skills – Excel and Microsoft word .
  • Full valid driving licence.
  • Previous experience of working for an embassy / INGO.
  • Ability to work unsupervised and under pressure.
