Main purpose of job:

A key role in the busy Corporate Services team supporting Embassy operations. Both a Managerial and Administrative role in day to day operations.

The Officer will be responsible for:

  • HR work.
  • Supervise transport Team.
  • Information Management agenda; introducing both knowledge and tools to users to improve our document management.
  • Back Up IT and  Support.
  • General logistics.
  • Ad hoc project support.

Roles and responsibilities:

  1. To provide HR advice (recruitment, legal cases, pensions, payroll issues) and support to team leaders and consultation with our professional lawyers and our HR Hub based in Mexico City, etc.
  2. To provide oversight and line management to the Embassy Corporate Services Transport team, ensuring effective use of both vehicles and transport diary and policy compliance. Liaison with SIM and Superintendencia de Vigilancia y Seguridad Privada.
  3. Transport budget forecasting and spend.
  4. Deputy Information Management Officer - manage the Bogota Sharepoint site and other archives.
  5. Deputy IT Officer – back up to IT officer during busy periods or absences.
  6. Deputy Finance officer - back up to Corp Serv Officer (HR and Finance) during busy periods or absences.
  7. Procurement support: Requisitioner/Receiver, supplier maintenance etc, Govt Procurement Card (GPC) holder.
  8. To support with other ad-hoc General Corporate Services tasks (e.g. project work or visitors at Post). 
  • Law/HR degree or relevant comparable experience.
  • Certified studies in ‘Sistema de Gestion y Seguridad en el Trabajo’.
  • Knowledge of Colombian legally mandated HR processes.
  • Strong IT skills (including knowledge of SharePoint).
  • Effective people management skills.
  • Good communication skills.
  • Ability to prioritise tasks.
  • Team player.
  • Knowledge of payroll, including payment of social security affiliations in Colombia.
  • Experience of budget forecasting and control.

  • Net working hours 35 per week ie Mon-Thu 08:30 – 17:00 with an hour lunch break and Fri 08:30-13.30 allowing for a good work/life balance. Some flexibility will be required during periods of exceptional workload.
