Main purpose of job:

To be a key member of the BDHC Hyderabad Corporate Services team responsible for the Estates, Security & Finance management functions at BDHC Hyderabad. In addition, support the IT and other operational functions of the office.

Roles and responsibilities :

Estates (40%) :

The estates of BDHC Hyderabad comprises of the BDHC Hyderabad office and the official residence of the Deputy High Commissioner. You will be responsible for managing the official residence including day-to-day operations in line with FCO Health and Safety policies.

You will be responsible for maintaining records for ‘Property Compliance Assessments’ of both the residence and office using PYRAMID - Property Records and Management Information Database.

You will be responsible for all works on the estate including coordination with external and internal stakeholders.

You will manage inventories of furniture and fittings including white goods of the entire estate. You will also manage the stock of food, drinks and housekeeping supplies used for official use.

You will manage the residence staff including contracted staff.

You will coordinate with relevant stakeholders to ensure all estate related payments are done in a timely manner.

Finance and Vendor Management (20%)

You will provide critical day-to-day support for the efficient and effective running of the BDHC. You will support the financial, procurement and other operational aspects of the BDHC.   This includes liaising with suppliers, ensuring timely presentation of invoices and their payment, ensuring incoming diplomatic bags are recorded etc.

You will be responsible to ensure compliance with FCO finance and procurement policies while purchasing of goods or services. You will agree to any necessary trainings that are mandated for this responsibility.

You will be responsible to ensure GST refunds are processed and claimed back from state government authorities at regular intervals.

You will continuously review operations to identify better ways of working to secure best value for money and resource savings.

You will also support the Corporate Services Manager for any ad hoc requirement relating to estates or procurement and deputise for her in her absence.

Security & Crisis Management(15%):

You will be responsible for day-to-day management of the contracted security guard force at the BDHC office and residence, ensuring they are undertaking their duties to the required standards at all times and dealing with visitors professionally and courteously. You will also be responsible for ensuring the contractor maintains Key Performance Indicator’s (KPI’s) by monitoring performance constantly.

You will be responsible to maintain the Post Security Regulations of the mission and ensure it is circulated to all staff at appropriate times.

You will assist the Post Security Officer in conducting regular Post Security Committee meetings and ensuring minutes are recorded and appropriately circulated.

You will also help the ITSO manage emergency communications, ensuring they are regularly tested and available at all times.

You will also be involved with the business continuity and crisis management of the BDHC and be involved in reviewing and testing of relevant plans and procedures.

Visits, Event Management & Protocol(10%):

You will work closely with other departments in the Mission to maximise the use of the residence for events in a safe manner and in accordance with FCO Health and Safety Policies.

You will coordinate with external and internal stakeholders for official events and visits held by the Deputy High Commission at the residence or external venues.

You will assist the CSM and Protocol officer with necessary paperwork required for protocol permissions.

Line Management Responsibilities(10%):

You will line manage the BDHC front office executive and residence staff ensuring effective performance by following FCO’s performance management system and good line manager campaign.

IT & Telecom(5%):

You will be the Deputy IT Support Officer for the British Deputy High Commission (BDHC) Hyderabad. You will support the IT Support Officer in the efficient and effective running of the FCO’s IT network for the ‘Official’ tier and perform systems administration and maintenance tasks as stipulated by the FCO guidelines.

You will be the focal point for anything ‘Telecom’ including resolution of telecom issues in conjunction with local stakeholders.

Language requirements:

Language: English and knowledge of local language is preferred 

Other skills / experience / qualifications:

  • A confident self-starter, with proven energy and initiative in overcoming obstacles, and the ability to handle multiple tasks and prioritise with minimal supervision.
  • Willingness to learn and develop.
  • Good interpersonal skills; someone who can build contact and can negotiate effectively, including with senior staff.
  • Excellent team working skills, with strong ability to build co-operative working relationships across a large network, including outside of the British High Commission.

Education: Graduate in any discipline with at least 2 years of experience in a similar role.

Strong estates related, finance and general management skills are desirable.

For British High Commission (BHC) candidates, the Local Staff BHC Terms & Conditions will apply.

For other than BHC candidates, salary will be 40,462 per month together with a 12% provident fund and 6% Special Allowance.
