Main purpose of job:

The British Embassy in Luanda is part of a world-wide network representing British political, economic and consular interests overseas and is now looking for a Deputy Estate Manager.

This is a fascinating job in which you will ensure delivery of estate contracts in a challenging and rapidly changing environment. It will be suited to someone with good administrative and computer skills, including Microsoft Office package (Outlook, Excel, and Word). The ideal candidate will be resilient, have an energetic approach and be able to spot and solve problems quickly.

You will maintain regular contact with suppliers that provide goods and services to the Embassy and residences, including ensuring invoices are processed promptly and issues are proactively solved. You will support our Estates Manager to deliver our strategic Estates plan.

Roles and responsibilities:

  • Efficient and customer-friendly communications with British Embassy staff and families resident on compound.
  • Contract Management (tendering, supplier management etc).
  • Manage and monitor annual service contracts.
  • Ensuring proper stocks controls procedures are in place and are followed.
  • Work closely with the Estates Manager to prepare and deliver forward programmes of preventive maintenance for the Embassy estate.
  • Responsible for monitoring estate work order and share with Estate Manager.
  • Request payments and monitor maintenance budgets with the Estates Manager and Finance Officer.
  • Main receiver/ requisitioner for the estate’s goods and services.

Finances and Procurement

  • Ensuring budgets are managed effectively, manage maintenance budget of approximately: AOA 20,000,000.
  • Adhere to procurement process, ensuring quotes and invoices are matched before payment.
  • Identify and preparing business cases for Estates projects up to £10k. Provide input and support to larger scale Estates Projects
  • Two years professional experience in an international environment.
  • Excellent organisational skills and ability to prioritise a variety of tasks and conflicting deadlines;
  • Excellent verbal and written communication skills in English and Portuguese
  • Experience in contract management.
  • Previous team leadership experience.
  • Customer centred focus; ability to manage expectations.
  • Solution orientated - focussed on solutions and, not problems and obstacles.
  • Computer literate, working with Microsoft Windows and able to manage information effectively with available computer systems.
  • Contract manager certification
