The British Consulate-General in Madrid protects and promotes the interests of approximately 1.2 million British visitors and approximately 18,000 British residents each year in a large consular district which includes the autonomous communities of Madrid, Galicia, Principado de Asturias, Cantabria, País Vasco, Navarra, Rioja, Castilla Leon, most of Castilla de la Mancha and Extremadura.
The Consulate-General is seeking to recruit a permanent Consular Assistant to join their dynamic, highly motivated and experienced Central Spain Consular Assistance team which is committed to delivering high-quality customer service.
The main purpose of the job will involve attending to members of the public at the front counter, taking telephone calls, answering emails & letters and ensuring necessary back up to the team, enabling the whole team to deliver the best service possible to our customers. The support needed also includes general administrative duties for which having an engaging and proactive attitude will be essential.
Roles and Responsibilities:
- Attending to members of public at the counter;
- Processing Emergency Travel Documents for British nationals whose; passports have been lost or stolen. Ensure production is accurate and timely;
- Attending to Notarial and Documentary Service customers in person, by telephone and in written format;
- Processing Notarial and Documentary Service applications for British nationals in Spain within a set target time;
- Provide support in back office work and projects for the rest of the consular assistance team in Madrid;
- Including filing, arranging visits, meetings and other general administrative tasks;
- Taking telephone calls and answering general written enquiries by email or letter.
- Proven experience in dealing with the general public and working in a team in a fast moving target-driven environment;
- Customer service and administration background will be preferred;
- Fluency in English and Spanish, both oral and spoken (a minimum of C2 level);
- Superb attention to detail and problem solving skills;
- Self starter with strong time management skills –able to work to deadlines and targets and manage a heavy workload;
- IT skills (Outlook, Excel, Word and Powerpoint);
- Occasional travel and flexibility in working hours will be expected as on occasions out-of hours assistance to British nationals may be required;
- Dynamic quick to learn and loads of initiative.
- University degree qualification.

This is a full-time position of 5 working days (37.5 hours per week) and a permanent contract.
The successful candidate is subject to a confirmation of a background check, security clearance and the successful completion of a probationary period.
The successful candidate will be enrolled in the Spanish Social Security Scheme and will therefore not be entitled to any gratuity from the Embassy based on gross annual salary.
Regarding taxation, the Embassy is a Diplomatic Mission with tax exempt status and does not collect taxes for other States. Employees are fully responsible for payment of Spanish income tax at the legally required rate.
Staff recruited locally by the British Embassy in Spain are subject to terms and conditions of service according to local Spanish employment law.
