Main purpose of job:

This is an interesting and varied role in the Corporate Services Team (CST) at the British Consulate-General in Hong Kong.

It is an excellent opportunity to develop transferrable skills in competences such as leading and communicating, collaborating and partnering, managing a quality service and delivering at pace.

The position requires a pro-active, practical and hands-on approach to ensure functions and processes are efficient, effective and represent good value for money.

Roles and responsibilities

Human Resources

  • Provide clear guidance to new staff and hiring managers on arrival and departure of staff.  Lead on administration and prepare documents as appropriate.
  • Drive forward the on-boarding process for new staff including a buddy system.
  • Responsible for HR related administration and paperwork.
  • Work closely with the Corporate Services Manager (HR) within the Corporate Services team to organise quarterly staff inductions at the Consulate, consistently seeking feedback on, and implementing improvements to the induction process.

Logistics

  • Provide clear, up-to-date guidance and logistical support to UK based diplomatic staff arriving / departing Hong Kong (including on, but not limited to: visas, passports, accreditation and freight).  Draft and issue any correspondence required to support these processes.

Procurement

  • Work closely with the Community Liaison Officer at the Consulate to facilitate payment of education / transport fees, and handle other formalities, for UK based staff arriving in Hong Kong with family.
  • Manage the invoicing and payment of various Consulate accounts, ensuring compliance with the Foreign Commonwealth Development Office purchase to pay process. 

Other Corporate Services Responsibilities

  • Provide administrative support to the Head of Corporate Services and the Corporate Services Managers including assisting with ad hoc projects and new initiatives.
  • Relationship Management with some key BCG external suppliers.
  • Provide resilience support / cover within CST. 
  • Contribute to wider activities at the Consulate through active involvement in a range of staff committees.

This is a full-time, 2 year fixed-term role with the possibility of renewal.

  • Fluent in English - both written and spoken.
  • Strong communication and organisational skills.  
  • Proficient in Microsoft Office applications.
  • Customer service or office management experience
  • Corporate services/HR experience and / or relevant qualifications.
  • Previous experience working for the UK government or other international organisations.
  • Fluent in Cantonese.

This position is open to Hong Kong citizens, permanent residents, and partners/dependants of UK-based diplomatic staff currently posted in Hong Kong. Employment offers are subject to successful clearance of pre-employment checks. No accommodation or relocation expenses are payable in connection with this position. Candidates must have or be able to obtain work authorisation for Hong Kong in order to apply.
