The Ministry of Defence (MOD) department at the British Embassy in Amman is seeking a highly motivated and enthusiastic individual for the position of Defence Admin Support Officer, Grade – B3 (L).

Main Purpose of the job:

This is a high profile position working for the UK Ministry of Defence within the British Embassy.  The holder is responsible to the Defence Section of the British Embassy with key duties in support of both the Defence Section and the British Loan Service. The holder would be responsible for coordinating real-life support (e.g. accommodation, transport, human resources) in support of UK Defence personnel and Loan Service personnel working within Jordan.

The successful candidate will work directly to the Defence Attaché and, as a core member of the UK Defence in Jordan team. They will be comfortable working at pace in a busy and, at times, pressured environments and with dealing with the Jordanian military and the wider international defence community.   They will have excellent communication and organizational skills and will be a self-starter, able to regularly produce accurate and timely work under pressure and with little supervision. The role suits a calm, experienced and pragmatic individual.

This is an excellent opportunity to work as part of a close-knit and dedicated team delivering UK Defence Engagement activity and supporting wider UK interests in Jordan.

Main Responsibilities:

Support to the Defence Section in the British Embassy

  • Supporting the maintenance of the Defence Section relationship with the JAF through direct liaison with the Attaché Branch and other departments as required.
  • Rapid full translation of correspondence between the Defence Section and the Jordanian Armed Forces and other Jordanian organisations and providing a verbal translation service at meetings as required.
  • Drive defence section vehicles as and when needed.
  • Deputising in a support role for the Defence Section Office Manager and the Assistant to the Defence Attaché (when directed, and where appropriate).
  • Supporting visiting Defence personnel and teams acting as a liaison with full understanding of local processes and systems.
  • Assisting in the coordination of wider embassy visits and activities as required.

Loan Service Team support

Providing liaison between UK Loan Service military officers and the Jordanian military (and other Jordanian organisations) to facilitate required ‘real life support’ services. These include:

  • Coordinating accommodation with JAF including settling in, maintenance, changing / moving out when needed.
  • Assisting with the procurement and maintenance of private vehicles.
  • Providing in office support to the Loan Service for letter writing, attending meetings for translation assistance and other administrative tasks as required.
  • Providing out of hours emergency advice to LS personnel regarding various issues (e.g. interfacing with different Jordanian systems / processes)

Essential:

  • Fluent oral and written English and Arabic.
  • Strong organizational skills with a background in and experience of working in an administrative role.

  • Full Driving (clean) Licence.

Desirable:

  • Management of personnel.
  • Experience of working in an international environment.

Working Hours and Remuneration: 

The position is full-time, at 37 hours a week with considerations of flexibility depending on circumstances.

Pay is on the Embassy B3 (L) scale, with a salary of JOD 1,577 per month. Please note that your salary will be paid gross and you are expected to comply with your tax obligations through completion of a tax return to the local authorities.  If exceptionally you are not liable to pay Jordanian tax, you will receive a net salary which is minus the deduction of an equivalent level of local tax.  Further information on this will be given to candidates at interview if necessary.

The package includes a good level of health insurance and a friendly, English-speaking work environment. We offer opportunities to develop professional skills through our Learning & Development offer. Leave entitlement is 25 days (on pro rata basis) plus 14 public holidays.

This position is offered on a full time, fixed term contract for two (2) years. The desired start date for the successful candidate on the role is 01 February 2021.

The successful candidate will be subject to a 90-days probationary period.
